Program Assistant, Managed Organizations (Chicago, IL or Washington, DC)

We are seeking an organized, detail-oriented, and highly motivated self-starter to support our efforts in launching and managing innovative social sector projects. If you want to work with a fast-growing, entrepreneurial team reshaping the charitable sector, this job is for you.

Project Support (60-70%)

Support the management of a large portfolio of fiscally sponsored and incubated projects

  • Maintain up-to-date project data in systems like Salesforce and intranet websites.
  • Enter projects and budgets into time-tracking systems and generate reports.
  • Ensure electronic files are organized and current.
  • Produce reports to identify and correct missing or erroneous data.
  • Manage team process and procedure documents, including templates.
  • Coordinate logistics for meetings.
Support grant and contract management processes
  • Manage the signatory process for documents.
  • Assist with subgrant preparations, including OFAC checks and drafting agreements.
  • Enter grant and contract info into Salesforce.
  • Research unidentified donations for proper project designation.
  • Submit payment requests with accurate coding.
  • Download and format financial reports for review.
  • Support the hiring process by managing documentation and data entry.
Administrative Support (~30-40%)
  • Contribute to process and system improvements.
  • Assist with data gathering and measurement for operational goals.
  • Perform other administrative tasks and projects as needed.
Qualifications
  • Associate’s Degree with two years of experience or Bachelor’s Degree.
  • Excellent communication skills.
  • Resourcefulness and entrepreneurial spirit.
  • Outstanding organization and prioritization skills.
  • Proficiency with Microsoft Office Suite.
  • Interest in philanthropy and nonprofit management.
Preferred Skills
  • Up to two years of administrative support experience.
  • Experience with Salesforce, databases, intranets, and web tools.
