Child Care Resource Center (CCRC) is seeking a Program Assistant to provide administrative support primarily to the Child Care Financial Assistance (CCFA) Division. You will handle clerical tasks, enrollment materials, and maintain eligibility records while ensuring compliance with regulations.
You will also deliver customer service to families, providers, and internal teams, answer inquiries, and support day-to-day CCFA operations. A hybrid schedule and background checks are part of the role.

Within a team structure, provide administrative support services to CCFA teams in compliance with regulations for subsidized childcare programs, which include the following responsibilities:
Support case management tasks including, but not limited to filing, typing, sending/receiving/logging mailings; preparing enrollment and provider packets; sending copies of Notice of Action to parents and/or DPSS; clerical support with photocopying, filing, faxing, typing, mail processing; and maintaining CCRC's eligibility list
As requested by Case Specialists, request appropriate documentation to maintain family eligibility and program compliance. Develop and maintain accurate, legible and complete written records of families' program activity.
Develop, maintain, and apply knowledge of program regulations, guidelines and funding terms and conditions, which can include Title V, funding terms and conditions, Stage 1 contract, CDE, and CCRC policies
Provide professional customer service internally to members and externally to clients, families, and providers. Answer telephones, assist or transfer callers as expected, follow-up as needed. Provide comprehensive support and technical assistance to parents regarding childcare questions and concerns.
Provide daily communication and support as required to the Child Care Financial Assistance (CCFA) Division.
Education / Experience:
Technical Requirements: Proficiency and experience with Windows-based programs and data entry.
Travel: Some travel/business related driving required. Staff may choose any mode of transportation (driving, walking, bicycling, carpooling, etc.) to arrive to and depart from the location where attendance is required. Should a staff member choose to drive, the staff member must become an approved driver with CCRC prior to driving on behalf of CCRC. Approved drivers driving on behalf of CCRC may choose to drive a CCRC vehicle or own vehicle and must meet requirements to be an approved driver including holding and maintaining current auto insurance, current California Driver's License and receiving DMV clearance.
Work Schedule: Hybrid. Ability to work a regular, full time schedule; overtime may be required as needed. Late shift schedule until 7 pm one Monday a month required.
Work environment: Ability to work in a professional office environment.
Background & Health Clearance Requirements: Background requirements determined according to the requirements of the program(s) which the position will be supporting. Background check required. As a grant-funded Agency supporting Children and Family Services, CCRC conducts background checks commensurate with the role to verify candidate qualifications (criminal history, employment history / experience, education, reference checks) and ensure grant compliance.
