Job summary

Commonpoint is seeking a part-time Program Aide to provide administrative, operational, and participant support for our afterschool programs. You will assist with daily logistics, attendance, sign-in/out, family communication, and recordkeeping while helping maintain a safe, welcoming environment for children, families, and staff.

Work closely with the Program Director to implement activities, coordinate materials, and support events.

Qualifications

  • High school diploma or equivalent required; college coursework preferred.
  • Minimum one year experience with children/youth in programs.
  • Strong organizational, communication, and customer service skills.
  • Proficient with Microsoft Office, Google Workspace, and data systems.

ABOUT THE ROLE

The Program Aide provides administrative, operational, and participant support to ensure the smooth day-to-day operation of the program. Working closely with the Program Director and program leadership, this role assists with daily logistics, participant supervision, attendance, family communication, recordkeeping, and

program implementation while helping maintain a safe, organized, and welcoming environment for participants, families, and staff.

Across the agency, our part-time staff play a crucial role in driving our initiatives forward by supporting daily operations, program delivery, and organizational goals.

Reports to: Program Director.

ROLE RESPONSIBILITIES:
Agency Expectations:
  • Support agency initiatives by carrying out assigned duties accurately and efficiently, while following established processes and contributing to basic data collection, reporting, or documentation as required.
  • Use agency resources responsibly by following established procedures, safeguarding equipment and materials, and/or supporting cost-effective operations.
  • Work effectively with supervisors, coworkers, and cross-department teams to ensure clear communication, timely task completion, and a positive, respectful work environment.
  • Follow all safety protocols, policies, and procedures to maintain a safe work environment for staff, partners, and the public, and promptly report concerns or incidents.
Role Expectations:
Daily Operations & Program Implementation:
  • Support the day-to-day implementation of program operations and activities.
  • Assist with daily program setup, sign-in/sign-out procedures, participant transitions, and cleanup.
  • Prepare materials, supplies, and activity spaces to support daily programming.
  • Assist with participant supervision and engagement while promoting a safe, welcoming, and inclusive environment.
  • Provide operational support during special events, field trips, and family engagement activities.
Administrative & Operational Support
  • Organize and maintain program binders, participant files, forms, and required documentation.
  • Assist with attendance tracking, data entry, and administrative recordkeeping.
  • Support staff scheduling communication, coverage updates, and routine operational coordination.
  • Conduct reminder calls, follow-up communication, and routine outreach to participants and families.
  • Assist with administrative documentation, operational communication, and program follow-through.
  • Coordinate program materials, supplies, and room setup to support daily operations.
  • Provide administrative and operational support that promotes efficient program implementation and reduces the day-to-day administrative burden on program leadership.
Operational Support & Compliance:
  • Assist with audits, monitoring visits, documentation, and operational follow-through.
  • Maintain accurate attendance records, participant files, and required program documentation.
  • Support inventory, purchasing requests, supply management, and facility readiness.
  • Follow agency procedures, health and safety protocols, licensing requirements, and program policies.
Impact & Program Quality:
  • Assist with participant surveys, attendance tracking, and routine program reporting.
  • Support quality improvement efforts by completing assigned follow-up tasks and documentation.
  • Help maintain organized program records that support compliance and program quality.
Partnerships & External Relations:
  • Build positive relationships with participants, families, school personnel, and community partners.
  • Provide excellent customer service through professional communication and follow up.
  • Participate in staff meetings, training, and agency initiatives.
  • Represent Commonpoint professionally at all times.
QUALIFICATIONS & KEY ATTRIBUTES:
MINIMUM QUALIFICATIONS:
  • High school diploma or equivalent required; Associate's degree or coursework toward a Bachelor's degree in Education, Social Work, Human Services, Child Development, or a related field preferred.
  • Minimum one (1) year of experience working with children or youth in an educational, recreational, afterschool, or community-based setting.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple tasks and work collaboratively in a fast-paced environment.
  • Proficiency with Microsoft Office, Google Workspace, and online data management systems.
  • Willingness to successfully complete all required background checks, clearances, and mandatory trainings.
PREFERRED QUALIFICATIONS:
  • Previous experience working in a Commonpoint or DYCD-funded program.
  • Experience providing administrative or operational support in a youth-serving program.
  • Experience with attendance systems, participant databases, or program documentation.
  • Experience supporting family engagement and participant communication.
  • Bilingual skills are welcomed.

Salaries are determined based on internal and external equity, as well as each position’s scope, qualifications, and organizational impact. We believe in compensating staff fairly and

To maintain fairness across the organization, salary offers are set according to established salary bands and are not subject to negotiation. New hires typically start near the beginning of the salary range to allow for growth based on performance, professional development, and tenure.

WORKING CONDITIONS & JOB DETAILS
WORKING CONDITIONS:
  • Work is performed primarily in a school or office setting, with regular activities conducted in classrooms, gyms, cafeterias, outdoor spaces, and other program environments as needed.
  • Position may require exposure to varying environmental conditions, including outdoor weather, loud noise, and other conditions associated with school-age and community-based programming.
  • Requires the ability to sit, stand, walk, bend, stoop, reach, and use a computer and other office equipment for extended periods throughout the workday.
  • Must be able to lift and carry materials, supplies, and equipment weighing up to 25 pounds, with occasional assistance for heavier items as needed.
  • Requires flexibility to work occasional evenings, weekends, and extended hours to support program operations, special events, training, family engagement activities, and agency initiatives.
  • Travel between program sites, schools, agency locations, and community events may be required based on program, operational, and funding needs. Temporary reassignment to alternate program sites, including summer program locations, may also be required to support agency operations.
JOB DETAILS:
  • Hourly Rate: $22.00/hr- $25.00/hr
  • Location: 1970 W Farms Road, Bronx, NY, 10460
  • Work Schedule: Monday–Friday. Typical afterschool hours are approximately 2:00 PM–5:30 PM. Schedules may vary based on program needs and may include earlier start or end times, as well as full-day shifts during school breaks, holidays, training, meetings, and special events. Up to 19 hours per week.
  • Non Union Position.
