Position: Program Administrator

Reports To: Director of Teaching and Learning

Status: Hourly Full-Time Staff Position, non-exempt

The Program Administrator is the operational backbone of PS1’s teaching and learning initiatives, supporting students, faculty, and families, while ensuring the school’s programs run smoothly and safely. This role is essential to maintaining the high-quality progressive education experience families choose and invest in, translating the school’s mission and values into day-to-day excellence, innovation, and joyful learning.

Major Responsibilities
Coordination and Management
  • Serve as a primary support to the Director of Teaching and Learning in all aspects of school program operations
  • Support Director of Student and Community life in creating and implementing school and family programing for social emotional learning, life-skills, pluralism, and community building
  • Partner with Operations to coordinate scheduling for classrooms and teachers for all school events, such as conferences, picture day, and all school events
  • Oversee logistics and act as administrative liaison to support the academic program and program events
  • Support student services, including standardized testing, outside evaluations, and professional services, coordinating seamlessly among teachers, parents, and external providers
  • Coordinate class field trips, class learning celebrations, end of year class gatherings, and circle time presentations
  • Track and organize professional development opportunities for faculty and staff
  • Coordinate and maintain inventory of curricular materials
  • Lead initial hiring efforts, tracking applications, arranging interviews, and creating schedules for candidates
  • Be an active presence in classrooms and yards when called upon, modeling progressive education principles
  • Coordinate connections with outside organizations, fostering partnerships aligned with PS1’s mission
  • Work with local school districts to coordinate student services and state funding
  • Encourage and support all staff, faculty, and specialists in their pursuit of excellence, while fostering their unique passions and educational lens
Teaching and Learning at PS1
  • Support preparation of observation, documentation, and progress-monitoring materials to guide instructional coaching
  • Schedule and maintain agendas and notes for faculty meetings, communicate in grade-level meetings, and participate in professional learning communities
  • Support the scheduling and production of progress reports and conferences, including proofreading and editing comments
  • Support the development, revision, and evaluation of school-wide curriculum initiatives
  • Engage in ongoing reflection and professional growth
  • Serve as a trusted adult who supports students’ confidence, identity, and agency

  • Participate fully in faculty orientation, professional development weeks, and school events
  • Share responsibility for supervision, field trips, and community activities
  • Collaborate respectfully with colleagues and administrators
