Job summary

Team One in Los Angeles is seeking a Production Coordinator to support the Idea Production department’s administrative needs. You will help organize information, enable smooth internal processes, and ensure staff have the tools and access required to operate effectively.

Responsibilities

  • Provides hands-on, in-person support for onboarding, offboarding, access, tools, software, equipment, and day-to-day staff troubleshooting for the whole agency.
  • Coordinates with IT, HR, Finance, Production leads, vendors, hiring managers, and other departments to keep tasks moving and issues resolved.
  • Tracks and follows up on weekly labor reports, financial reporting needs, purchase orders, invoices, and tool access across multiple active jobs.
  • Supports the delivery and troubleshooting of software, hardware, shared resources, and department systems for staff and freelancers.
  • Manages department check-in/out, ensuring staff have access to tools and information to start and finish work smoothly.
  • Maintains reports, spreadsheets, contact lists, distribution lists, and department records with accuracy.
  • Organizes time sheets, labor reporting, and related updates for hourly staff and freelancers.
  • Escalates issues to leadership when guidance or resolution is needed.

Overview

About this Position: The Production Coordinator is the administrative support person for the Idea Production department, which is made up of a number of groups that provide a broad range of production services. The Coordinator's primary function is to provide the support, training, space management and miscellaneous assistance needed to ensure the groups' internal processes run smoothly.


What You'll Do (Responsibilities)

The Production Coordinator anticipates what needs to be done to help the department operate smoothly and efficiently. She/he focuses on organizing information and documents, has a resourceful approach to providing solutions, and is proficient at multi-tasking and prioritizing several simultaneous assignments. Having a clear understanding of agency systems and requirements provides them with the insight needed to best support the Production department.


Day To Day


  • Provides hands-on, in-person support for onboarding, offboarding, access, tools, software, equipment, and day-to-day staff troubleshooting for whole agency.

  • Coordinates with IT, HR, Finance, Production leads, vendors, hiring managers, and other agency departments to keep operational tasks moving and issues resolved.

  • Tracks and follows up on weekly labor reports, financial reporting needs, purchase orders, invoices, some vendor communication, and tool access across multiple active jobs.

  • Supports the delivery and troubleshooting of software, hardware, shared resources, and department systems for staff and freelancers.

  • Administers the department's check-in and check-out process, ensuring staff and freelancers have the access, tools, information, and support needed to start and wrap work smoothly.

  • Maintains reports, spreadsheets, contact lists, distribution lists, and department records with accuracy and timely follow-up.

  • Organizes and traffics time sheets, labor reporting, and related updates for hourly staff, freelancers, and production teams.

  • Escalates issues to the Group Director of Production and Agency Operations when additional guidance or resolution is needed.

  • Supports department meetings, expenses, files, storage, meals, events, mail, work orders, and administrative needs.


What You Bring (Qualifications)


  • Is based in the Los Angeles office and able to provide consistent, hands-on support to nearly all staff and department operations.

  • Has strong communication skills and can work directly with staff across departments to troubleshoot needs in real time.

  • Is organized, detail-oriented, and able to track many open items across jobs, people, tools, reports, approvals, and follow-ups.

  • Has strong follow-through and can manage competing priorities across onboarding, offboarding, financial reporting, labor reporting, and tool access.

  • Works well with IT, HR, Finance, Production leads, vendors, hiring managers, and other agency teams.

  • Understands that success in this role depends on presence, responsiveness, judgment, and personal attention to staff needs.

  • Is proficient with Microsoft Office and email, including calendaring. Helpful to know Atlassian Confluence, Jira, Google Suite, Slack and Smartsheet.

  • Has proven skills in creating, updating, and maintaining reports, spreadsheets, trackers, and department records.

  • Demonstrates curiosity and enthusiasm for leveraging AI and emerging technologies to spark innovation, elevate output quality, and streamline processes, while maintaining a strong human-centered approach.

  • Maintains confidentiality and handles staff, freelance, financial, and department information with care.

Compensation

Compensation Range: USD $40,280.00 - USD $57,008.00/Annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third‑party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
