Job summary

Tlingit Haida Tribal Business Corporation (THTBC) is seeking a data-oriented administrative professional for a 2nd shift role at Fort Carson. You will compile production data, manage work orders, and communicate with customers to ensure service satisfaction.

The ideal candidate has a high school diploma or GED and at least 1 year in an administrative office setting, with strong data-entry skills and MS Office proficiency. This is a non-exempt, shift-based position requiring safe work practices.

Qualifications

  • High school diploma or GED equivalent.
  • One year of administrative office experience.
  • Data entry skills and accuracy utilizing various databases/software.
  • Familiarization with CMMS, GFEBS a plus.
  • Strong MS Office skills (PowerPoint, Word, Access, Excel) and MS Windows.
  • Must be able to successfully complete a National Agency Check with Inquiries (Tier 1).
  • Must possess the ability to work in a high-volume office area and interface with customers.
  • Must possess the ability to work in a team setting and be flexible with short-notice changes.

Responsibilities

  • Compiles and records production data from orders, tickets, specifications, and worker sheets.
  • Receives, records, and distributes work orders to Coordinators on customer requests.
  • Contacts customers to ensure satisfactory service and relays instructions.
  • Analyzes, inputs, reviews, and updates statistical/contractual reports and databases.
  • Writes production reports and maintains document files.
  • Follows up on suspense items to ensure timely completion.
  • Adheres to policies, procedures, and safety regulations.
  • Produces quality products and services; completes training within required timelines.
  • Performs other duties as assigned.

About the Role

This position compiles and records production data for industrial establishments to compare records and reports on volume of production, consumption of material, quality control, and other aspects of production.

What You'll Be Doing

May perform any combination of the following duties:

  • Compiles and records production data from customer orders, work tickets, product specifications, and individual worker productions sheets following prescribed recording procedures and using different word processing techniques.
  • Receives, records, and distributes work orders to Material Schedule Coordinators upon customers' requests for service. Records information, such as name, address, facility to be repaired, or service to be rendered, prepares work order and distributes to the appropriate individuals.
  • Calls or writes the customer to ensure satisfactory performance of service, keeps record of service calls and work orders, may dispatch orders and relay messages and special instructions to mobile crews and other departments using radio or cellular telephone equipment.
  • Analyzes, inputs, reviews, and updates statistical/contractual reports and database entries for accuracy, calculating such factors as types and quantities of items produced, materials used, amount of scrap, frequency of defect, and worker and department production rates, using various office methods.
  • Additional tasks include writing production reports based on data compiled, tabulated and computed following prescribed formats, maintaining files of documents used and prepared.
  • Follows up on suspense items to ensure timely completion.
  • Adhere to company policies, procedures, and safety regulations.
  • Consistently produces quality products and service.
  • Completes all training within required timeline.
  • Performs all work in a safe and secure manner.
  • Performs other duties as assigned.
What We're Looking For
  • High school diploma or GED equivalent.
  • One-year experience in administrative office setting providing the necessary skills to perform the tasks of the position.
  • Data entry skills and accuracy utilizing various databases/software required.
  • Familiarization with Computer Maintenance Management System, (CMMS), GFEBS a plus.
  • Knowledge of office automation software (MS Windows, MS Office, including PowerPoint, Word, Access, and Excel) required.
  • Must be able to successfully complete a National Agency Check with Inquiries (Tier 1) background check.
  • Must possess the ability to work in a high-volume office area and interface in a positive manner with co-workers and the customer.
  • Must possess the ability to work in a team or alone and be able to change jobs on short notice.
  • Performs all assigned duties in accordance with established policies, procedures, and directives.
  • Displays courtesy and skill in dealing with internal and external customers, coworkers, and management.
  • Accurately maintains and updates records to enable quick and efficient retrieval of information.
  • Ability to work independently.
  • Ability to speak, read, and write English.
  • Must possess the ability to interact well with others in a team setting ability or alone and be able to change jobs on short notice.
  • Highly motivated, flexible organized and must be detail oriented.
  • Strong customer service and interpersonal skills.
  • Must be able to maintain ability to access government worksite.
  • Must have practical knowledge of worksite safety, occupational hazards, and standard safety practices.
  • Must be able to work alternate and extended shift schedules when necessary to meet the customer's mission requirements, including weekends and holidays.
  • Must have and maintain a valid state driver’s license to operate a company vehicle.
  • Must have a safe driving record, as defined by Company policy, to operate a company vehicle.
  • Must be able to successfully complete a drug/alcohol test and a criminal record check.

  • Must be capable of working under tight time constraints in a high-volume environment with multiple priorities.
