Job description

PharmaCann, Inc. owns and operates best-in-class production facilities and retail dispensaries for cannabis-based products. We currently operate in the States of Illinois, New York, Massachusetts, Ohio, Pennsylvania, Maryland, Colorado and Michigan as a medical and/or adult use cannabis provider to patients and customers. Job Summary

The Production and Auditing Assistant is responsible for providing administrative, operational, and auditing support to the cultivation facility while ensuring the accuracy and integrity of production and inventory data. This role assists with administrative and clerical functions, verifies inventory and production records through physical and digital reconciliations, supports reporting and compliance efforts, and helps maintain accurate data across inventory management and state seed-to-sale systems. The position works closely with Cultivation, Processing, Supply Chain, Quality Assurance, and other departments to support daily operations and regulatory compliance. When administrative and auditing responsibilities are complete, the Production and Auditing Assistant will provide hands-on support to cultivation and production activities as directed by leadership. This position requires strong attention to detail, organization, professionalism, and the ability to balance administrative responsibilities with operational support while consistently upholding company standards for safety, compliance, and accuracy.

The hourly rate is $25/hr

Essential Functions/ Responsibilities
  • This role will be responsible for prompt availability, support, and assistance to the General Manager of Manufacturing and leadership of the cultivation facility. These duties include, but are not limited to the following: front office reception and administration, facility and company data organization tasks, assisting with facility staff and event coordinations, providing support for projects, and contributing to the general efficiency of the organization. Scheduling meetings and travel for leadership and executives, as well as compiling business-related information.
  • Provide administrative, operational, and auditing support to the cultivation facility while promoting efficiency, organization, and compliance.
  • Perform physical and digital inventory audits, cycle counts, and reconciliations to ensure the accuracy of inventory, production data, and state seed-to-sale tracking systems.
  • Investigate and assist in resolving inventory discrepancies, document findings, and support continuous process improvements.
  • Generate, compile, and maintain reports, records, and documentation to support inventory accuracy, regulatory compliance, and business operations.
  • Assist with administrative functions including scheduling, document management, onboarding, meeting coordination, event support, and communication of facility policies and procedures.
  • Support facility inspections, audits, tours, and regulatory visits by preparing documentation and coordinating logistics as needed.
  • Maintain organized workspaces, files, supplies, signage, and facility resources while identifying and communicating maintenance, safety, and compliance concerns.
  • Provide support for inventory transfers, manifests, data entry, and other operational tasks as assigned.
  • Assist with training team members on departmental processes and provide cross‑functional support to other departments or regions when needed.
  • Support cultivation and production operations with hands‑on assistance as directed by leadership when administrative and auditing responsibilities are complete.
  • Perform all duties in accordance with company policies, SOPs, and applicable local, state, and federal regulations while maintaining the highest standards of professionalism, accuracy, and confidentiality.
  • Coverage in other regions and departments of the company.
  • Additional duties and responsibilities as assigned.
Supervision
  • Works under the direct supervision of the General Manager of Manufacturing, also takes direction from Auditing and Analytics Management.
  • This position will be asked to support the guidance and training of associates of the facility, but this position will not be asked to discipline employees.
Competencies And Qualifications
Work Experience
  • One to three years of data entry experience is required.
  • Intermediate working knowledge of Google Sheets and/or Excel required.
  • One year of experience working in METRC, Biotrack, or MJ Freeway preferred.
  • Prior experience working within Dynamics NAV, CounterPoint, or similar inventory tracking systems preferred.
  • Preferred experience in an administrative or clerical role for at least 1 year.
  • Preferred experience employed with PharmaCann for at least 1 year.
  • 3+ years of work experience in a related industry or work environment preferred.
  • Demonstrates high attention to detail and organizational skills.
  • Demonstrates professional and respectful demeanor towards others. Demonstrates respectful verbal and written communication capability. Demonstrates the ability to host and guide individuals in settings of tours and events.
  • Knowledge and background in cannabis cultivation preferred.
  • Ability to create, utilize, and modify electronic documents.
  • While performing the duties of this job, the employee is regularly required to communicate professionally in person, over the telephone, through email and other electronic means, move about the office and university, handle various types of media and equipment, and visually or otherwise identify, observe and assess.
  • Data analysis experience preferred.
  • Demonstrated oral and written communication skills.
  • Knowledge of inventory management and adherence to FIFO.
  • Knowledge of state and federal employment laws relating to key areas of responsibility.
Job Requirements
  • Must be able to secure appropriate work credentials from the relevant State Licensing Authority in all states where PharmaCann operates.
  • This position is expected to support the facility to perform duties at a highly productive and efficient pace, consistently.
Education
  • High School diploma or equivalent required.
  • Bachelor’s degree preferred.

  • Occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
  • Able to use a computer and/or hand tools while sitting or standing for extended periods of time.
  • Able to move about a typical office, greenhouse, manufacturing, warehouse, or retail environment
  • Able to kneel, bend, reach, rotate, and stoop on an intermittent to regular basis daily.
  • Able to perform general office managerial and administrative activities.
  • Able to lift and move up to 30pounds occasionally.
  • Regular and on‑time attendance.
  • Hours may exceed 40 hours per week.
  • Occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
