Position Title: Production Administrator
Reports To:Director of Operations
Position Summary: The primary responsibility of the Production Administrator is to oversee both the internal and external production and delivery of ice cream and cheese.
Job Duties:
- Maintains partnerships with cheese, milk, and ice cream vendors.
- The procurement, shipping and receiving of milk, cheese, and ice cream from approved vendors.
- Creates and follows production schedules for cheese and ice cream.
- Coordinates weekly order requests for milk and ice cream from vendors to communicate product availability and resource needs.
- Develops and coordinates documentation for Production to use for purposes of recording inventory usage in the daily production process.
- Inventory management, Assists and coordinates Month-End Inventory Reconciliation. Compiles physical Inventory counts and provides documentation to the Finance Department for Month Financial close process.
- Coordinates cheese cutting staff, CLD driver, and production staff.
- Keeps CDL driver records up to date and works with HR as needed.
- Coordinates, fills, and delivers internal milk, cheese, and ice cream orders.
- Works with accounting to make sure orders are managed and entered in SAP – Inventory Management System.
- Properly receives in product and coordinates internal testing. Ensures that product is not released until COAs have been received and approved.
- Responsible for shipping and labelling external wholesale orders appropriately.
- Make sure shipping and receiving dock runs smoothly and notify the appropriate business when their shipments are delivered.
- Provides logistical support to shipping and receiving by managing early releases including preparation of BOL documents and coordinates carrier support with scheduled pickup times.
- Prepare confidential correspondence reports or other documents and assist in accounting and cost reconciliation.
- Coordinates the overall sanitation of the plant, making sure that sanitation is done correctly and on time.
- Works with regulatory authorities to make sure permits and inspections are conducted and kept up to date.
- Order supplies on a regular basis to make sure the operations and sanitation of the plant continue on-schedule.
- Performs other duties as assigned.
Position Requirements:
- Position requires prolonged standing, bending, stooping, twisting, lifting products and supplies weighing fifty pounds, and repetitive hand and wrist motion.
- Ability to stand for four or more consecutive hours.
- Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.
- Work with cold and hazardous equipment as well as operating phones, computers, fax machines, copiers, and other office equipment.
- Must be able to take direction and delegate responsibilities.
- Able to work in a fast-paced environment.
- Able to work nights, weekends, holidays, and extended hours.
- Self-discipline, initiative, leadership ability and outgoing.
Education and Experience:
- College degree is preferred/desirable or 2+ years’ experience in a co-packing role.
- Highly detail-oriented mindset
- Ability to manage multiple priorities and maintain meticulous records.
- Highly proficient in all Microsoft 365 applications
- Inventory management system experience (SAP preferred) and bookkeeping and/or data entry.
