Job summary

Pond & Company is seeking an experienced IT Procurement Manager to lead technology procurement across its AEC organization. You will own the software estate, license management, and end-user hardware procurement, ensuring on-time delivery and cost efficiency.

You will partner with IT, HR, and Finance to align procurement with onboarding and project timelines while continuously improving workflows and governance.

Qualifications

  • 5–7 years in procurement, IT asset management, or SAM, incl. 3+ years in a comparable IT procurement role.
  • Direct, hands-on experience with AEC software licensing and deployment models.
  • Proven track record in software license management, renewals, and vendor negotiation.
  • Experience forecasting and procuring end-user hardware (laptops/workstations) at scale.
  • Proficiency with procurement, IT Asset Management (ITAM), or Software Asset Management (SAM) tooling.
  • Strong analytical, organizational, and communication skills, with the ability to work cross-functionally.

Responsibilities

  • Build and maintain a comprehensive, accurate catalog of the organization's software library, including AEC-specific applications alongside enterprise and productivity tools.
  • Track license entitlements, assignments, and consumption across licensing models.
  • Monitor renewal dates and proactively manage the renewal pipeline to prevent lapses, downtime, or emergency purchases.
  • Right-size license counts by analyzing utilization data, reclaiming unused or under-used seats, and surfacing cost-optimization opportunities.
  • Maintain license compliance and audit readiness, managing vendor true-ups and reconciliations.
  • Negotiate pricing, terms, and renewals with software publishers, value-added resellers, and hardware vendors.
  • Develop and maintain strong relationships with key AEC and enterprise technology partners.
  • Evaluate new tools and own the intake, review, and approval workflow for software requests from the business.
  • Forecast laptop and end-user hardware demand based on headcount growth, refresh cycles, attrition, and the project pipeline.
  • Maintain appropriate buffer/inventory levels to support onboarding and rapid replacement without overstocking.
  • Manage purchasing, delivery timelines, and standardized hardware configurations.
  • Coordinate asset tagging, tracking, and end-of-life/disposal processes.
  • Own the technology procurement side of employee onboarding, ensuring new hires have their laptop, software licenses, and access ready on day one.
  • Partner with HR, IT support, and hiring managers to align procurement timing with onboarding and start dates.
  • Continuously improve the onboarding workflow for speed, consistency, and cost efficiency.

About the Role

We are seeking an experienced IT Procurement Manager to lead technology procurement across our Architecture, Engineering, and Construction (AEC) organization. This role owns the full lifecycle of our software estate — cataloging, monitoring, and renewing an extensive and highly specialized library of AEC and enterprise applications — while also forecasting and procuring end-user hardware (with a particular focus on laptops) and coordinating the technology side of employee onboarding.

The ideal candidate pairs strong vendor management and contract negotiation skills with a working knowledge of AEC software and its often-complex licensing models. You will be the connective tissue between IT, HR, Finance, and the business, making sure people and projects have the right tools, at the right time, at the right cost.

Key Responsibilities
Software Asset & License Management
  • Build and maintain a comprehensive, accurate catalog of the organization's software library, including AEC-specific applications (e.g., Autodesk AEC Collection, Bentley Systems, Bluebeam, Navisworks, Rhino, Procore, Adobe Creative Cloud) alongside enterprise and productivity tools.
  • Track license entitlements, assignments, and consumption across a mix of licensing models — named-user, network/floating, token-based (e.g., Autodesk Flex), and subscription.
  • Monitor renewal dates and proactively manage the renewal pipeline to prevent lapses, downtime, or emergency purchases.
  • Right-size license counts by analyzing utilization data, reclaiming unused or under-used seats, and surfacing cost-optimization opportunities.
  • Maintain license compliance and audit readiness, managing vendor true-ups and reconciliations.
  • Negotiate pricing, terms, and renewals with software publishers, value-added resellers, and hardware vendors.
  • Develop and maintain strong relationships with key AEC and enterprise technology partners.

  • Partner with HR, IT support, and hiring managers to align procurement timing with onboarding and start dates.

Budget, Reporting & Governance
  • Manage the IT procurement budget and provide regular reporting on spend, forecasts, and realized savings.
  • Maintain accurate procurement records, purchase order tracking, and asset documentation.
  • Help define and enforce procurement policies, standards, and approval thresholds.
Required Qualifications
  • 5–7 years of overall procurement, IT asset management, or software asset management experience, including at least 3 years in a comparable IT procurement role.
  • Direct, hands‑on experience with AEC software and familiarity with its licensing and deployment models.
  • Proven track record in software license management, renewals, and vendor negotiation.
  • Experience forecasting and procuring end‑user hardware (laptops/workstations) at scale.
  • Proficiency with procurement, IT Asset Management (ITAM), or Software Asset Management (SAM) tooling.
  • Strong analytical, organizational, and communication skills, with the ability to work cross‑functionally.
Preferred Qualifications
  • Familiarity with platforms such as Autodesk Construction Cloud, Bentley ProjectWise, Bluebeam, and Procore.
  • Experience with ITSM/procurement platforms (e.g., ServiceNow, Coupa, SAP Ariba).
  • Relevant certifications such as IAITAM (CSAM/CHAMP), CPSM, or equivalent.
  • Understanding of the AEC industry's project‑based staffing and technology needs.
