Job summary

Qualifications

  • Bachelor’s degree in Supply Chain, Business, Engineering or related field.
  • 3–7 years of procurement, supply chain, or commodity management experience.
  • Experience procuring electrical/industrial equipment or long-lead components preferred.
  • Experience with requisitions, purchase orders, receiving, and invoice reconciliation.

Job description

We are seeking an experienced Apparatus Coordinator to oversee the full lifecycle of equipment procurement, from demand forecasting and supplier management through purchase order execution, delivery coordination, and final reconciliation.

This role will serve as a key link between engineering, operations, logistics, suppliers, and finance, ensuring equipment is sourced competitively, delivered on schedule, and aligned with project and operational requirements.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced industrial environment.

Key Responsibilities
Commodity Management
  • Maintain forward-looking forecasts for corporate equipment requirements across business unit projects.
  • Monitor supply constraints, long lead times, market conditions, and geopolitical risks that could affect equipment availability.
  • Manage supplier relationships, performance metrics, agreements, and continuous improvement initiatives.
  • Identify potential procurement risks and develop mitigation strategies to maintain supply continuity.
Procurement & Order Management
  • Prepare and issue purchase requisitions with accurate specifications, quantities, pricing information, and required delivery dates.
  • Track purchase orders, supplier commitments, payment milestones, inspections, and delivery schedules.
  • Proactively follow up with suppliers to identify and resolve schedule delays.
  • Coordinate with receiving teams to confirm deliveries, resolve discrepancies, and ensure required documentation is complete.
  • Expedite late or at-risk orders and address quality, documentation, and delivery issues.
  • Close purchase orders following receipt, invoicing, and reconciliation, ensuring outstanding issues are resolved.
Cross-Functional Coordination
  • Partner with engineering teams to ensure specifications, drawings, and technical requirements are accurate and current.
  • Coordinate with operations, logistics, warehousing, and project teams to align equipment deliveries with project schedules and installation requirements.
  • Work with finance and accounting to support invoice matching, cost tracking, purchase order reconciliation, and budget adherence.
  • Communicate procurement status, risks, and schedule impacts to relevant stakeholders.
Required Qualifications
  • Bachelor’s degree in Supply Chain, Business, Engineering, or a related field.
  • 3-7 years of experience in procurement, supply chain, commodity management, or a related function.
  • Experience procuring electrical equipment, industrial equipment, or other long-lead components is preferred.
  • Working knowledge of procurement processes, including requisitions, purchase orders, receiving, and invoice reconciliation.
  • Ability to interpret technical specifications and collaborate effectively with engineering teams.
  • Experience managing supplier relationships and monitoring supplier performance.
  • Strong organizational and time-management skills with the ability to manage multiple priorities through completion.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications, including spreadsheets and word processing.
  • Experience with Oracle Fusion or a similar ERP system preferred.

In this role, success means maintaining a reliable flow of equipment from forecast through delivery while minimizing procurement risks, schedule disruptions, and unresolved supplier issues. You will be expected to anticipate challenges, communicate effectively across functions, and keep procurement activities aligned with operational and project needs.

This position is primarily performed in a general office environment. No special physical demands are required.
