Job summary

Springfield Public Schools is seeking an organized administrative professional to support the principal, assistant principals and school office staff. The role handles attendance logs, payroll prep, records management and document proofreading.

You will maintain PowerSchool pupil information, process requisitions, respond to inquiries, and ensure timely processing of payroll and memos in a collaborative district environment.

Qualifications

  • Civil Service eligibility required.
  • High school diploma or equivalent.
  • Ability to type, word process and proofread letters and documents of above-average difficulty.
  • Strong organizational and interpersonal skills.
  • Ability to perform duties with minimal supervision.
  • Willingness to work hours aligned with the school schedule.
  • Must be a resident of Springfield.

Responsibilities

  • Maintains a Daily Teacher Attendance Log and records staff time for substitutes.
  • Maintains PowerSchool with updated pupil information.
  • Keeps updated records on school staff.
  • Performs word processing, typing and proofreading of letters and documents.
  • Prepares payroll-related items and submits to Payroll Department.
  • Prepares requisitions and maintains purchase orders.
  • Welcomes visitors and directs inquiries to appropriate staff.
  • Operates office equipment and maintains files.
  • Answers telephone and forwards messages.
  • Provides support to the Principal, Assistant Principal and office staff.
  • Performs other duties as assigned by the Principal and APs.

Duties
  • Maintains a Daily Teacher Attendance Log, keeps record of staffs’ time and related records for substitute teachers and collaboration with Assistant Principal.
  • Maintains PowerSchool technology with updated pupil information.
  • Maintains updated records on the School staff.
  • Performs word processing, typing and proofing of letters, documents and memoranda of more than average difficultly from clear copy, rough draft, recording machines or data personally developed.
  • Prepares School’s TLM Payroll, Supplemental pays and submits them to the Payroll Department at the Central Office in a timely matter.
  • Prepares MUNIS requisitions and maintains purchase orders.
  • Welcomes visitors, responds to their inquiry and/or directs them to the appropriate person.
  • Operates fax and copying machines to duplicate various forms, bulletins and notices.
  • Organizes and maintains office files
  • Answers the telephone, takes messages, and forwards them to the appropriate personnel
  • Provides support to the Principal, Assistant Principal and other main office staff.
  • Performs any other tasks as directed by the Principal and Assistant Principals.
