Job summary

Dilkon Medical Center | Winslow Indian Health Care is seeking an Administrative Specialist to support the Purchased Referred Care (PRC) team. You will handle clerical tasks, patient registration, and maintain detailed records while upholding confidentiality and HIPAA requirements.

Responsibilities include ordering supplies, coordinating travel and training, processing payments, scheduling appointments, and directing patients to the appropriate staff.

Qualifications

  • One year of office experience preferred.
  • Experience handling health information is preferred.

Responsibilities

  • Maintains patient records and performs clerical tasks for the PRC department.
  • Processes purchasing of supplies and coordinates travel/training for PRC.
  • Coordinates payments through the department budget system.
  • Answers and directs calls and assists patients, visitors, and vendors.
  • Acts as liaison for patient education on PRC criteria and services.
  • Schedules medical appointments to ensure continuity of care.
  • Maintains incoming correspondence and distributes mail to staff.
  • Attends trainings and in-services; maintains confidentiality.
  • Upholds confidentiality and HIPAA; respects privacy of health data.
  • Supports supervisors and staff; demonstrates teamwork and reliability.

Position Summary:Under general supervision of the Purchased Referred Care (PRC) Supervisor, provides support to the Purchased Referred Care Department by performing clerical and administrative support tasks, which require knowledge of detailed record maintenance systems, patient registration, and provides clerical support to the Contract Representatives and Supervisor. Upholds the principles of WIHCC’s Vision, Mission, and Value Statements. Maintains confidentiality of all privileged information at all times.This list of duties and responsibilities is illustrative only of the tasks performed by this position and is not all-inclusive.Essential Duties & Responsibilities:Maintains regular attendance and punctuality.Performs positive customer services, maintains professional etiquette to greet patients/family, visitors, and courteously answers inquire or requests.Completes purchasing of supplies and aiding with travel and training for the PRC department.Coordinates payments through organizations budget system.Directs customers to the appropriate staff, room or department. Receives telephone calls and directs the calls to the appropriate party.Act as a liaison for patient education on Purchased Referred Care criteria and notifications of services.Contacts are to be made to clarify and/or to provide information on the PRC Program, coordinates medical appointments to ensure patients receive treatments and maintain continuity of care.Retrieves, logs-in, sorts, distributes and tracks in-coming correspondence, facsimile, for appropriate staff, including mail from local vendors.Attends annual mandatory in-services training that pertain to the department.Attends continuing education/training opportunities as funds or availability allow.Requires completion of tasks or duties assigned by a supervisor.Upholds all principles of confidentiality and patient care to the fullest extent.Adheres to all professional and ethical behavior standards of the healthcare industry.Adheres to WIHCCs Personnel Policies and Procedures, departmental policies, rules, and regulations.Interacts in an honest, trustworthy and dependable manner with patients, employees, visitors, and vendors.Possesses cultural awareness and sensitivity.Maintains compliance with all Human Resources requirements.Performs other duties as assigned.Minimum Qualifications:High school diploma or GED required. One year experience in an office environment preferred. Previous experience in the handling of patient health information and/or medical records is strongly preferred. General knowledge of PC software and other related office equipment. Bilingual skills in English and Navajo language preferred. Must maintain a valid unrestricted and insurable driver’s license. Must successfully pass a background investigation and maintain suitable requirements for a Child Care position. This position is considered as a Child Care position, which requires a satisfactory background check investigation and is subject to the requirements of the Indian Child Protection and Family Violence Prevention Act, as amended (henceforth referred as the ICPFVP Act).Knowledge, Skills, AbilityKnowledge of Resource Patient Management System (RPMS) packages such as RCIS/CHSMIS, PTRG, PCC, and the scheduling package.Knowledge of Oracle and billing systems.Knowledge of the requirements of the Privacy Act, HIPAA, and maintaining confidentiality of patient information.Highly Organized with strong attention to detail.Must be able to take, prepare, and present minutes.Knowledge of strong work ethics in the workplace.Knowledge of basic computer skills, e.g. Outlook, Word, Excel, PowerPoint.Skill in the use of computers with solid typing skills.Ability to maintain records and files.Ability to willingly learn and to share information with others.Ability to work both independently and as part of a team.Interact with patients, visitors, clinic personnel, other hospital departments, other medical facilities and outside agencies by practicing outstanding customer services.Detail oriented and knowledgeable about the particular practices of PRC formerly known as Contract Health Services.Ability to be dependable in attendance and job performance.Ability to meet attendance, overtime (if necessary), and other reliability requirements of the job.Ability to accept and learn from feedback.Ability to communicate effectively both verbally and in writing.Ability to provide exemplary customer service at all times.Ability to interact positively with others and possess great interpersonal skills.Ability to multitask and perform well under pressure.Ability to have self-confidence.Ability to be a great team player.Ability to accept and learn from supervisor/peer critique.Ability to be flexible and adaptable to the changing needs of the organization.Physical Demands:While performing the essential functions of this position, the employee is regularly required to walk, sit, use hands and fingers, handle, or feel objects and equipment, reach with hands and arms, and communicate effectively by talking and hearing. The employee frequently must stand, climb, balance, stoop, kneel, crouch, or crawl and may occasionally use taste or smell. The employee must occasionally lift and/or move objects weighing up to 50 pounds.Work Environment:Work is performed in an office setting or outdoor work environment with moderate noise levels. Work environment may involve exposure to physical risks, such as blood borne pathogens, hazardous chemicals, or operating potential dangerous equipment, and requires adherence to all safety protocols. Required work schedules may include evening, weekend, overnight shifts, extended hours, or irregular schedules as operational needs dictate.As required by P.L. 93-638, absolute preference will be given to qualified Navajo applicants. If there is no qualified Navajo applicant, preference will be given to qualified American Indian applicants.
