Position Summary

The WPHPA Practice Manager supports and is responsible for the daily managerial operations of a single/multi-physician, single/multiple department (s) within White Plains Hospital Physician Associates. Coordinates administrative functions, plans and supports development of the department (s) and all related areas. Manages all non-clinical and clinical personnel, maintains accurate and current files on all department budgets, capital equipment requests and programs related to operational issues. Supports Revenue Cycle functions, Quality and Service Excellence initiatives.


Essential Functions and Responsibilities


  • Understand and adheres to the WPH Performance Standards, Policies and Behaviors.

  • Assures that practice registration, scheduling, visit closing, billing/collection and clinical information processes and systems are functioning effectively and on a timely basis.

  • Maintains practice standards and adheres to quality goals and other performance criteria.

  • Develops effective teamwork and communication among staff, assures appropriate levels of cross training and multi-tasking, and maintains high levels of staff participation.

  • Determines work schedules, including holiday and vacation time.

  • May coordinate activities, tools, etc. with other departments/practices and service groups, as necessary.

  • Recommends personnel actions, including hiring and terminating, and prepares written performance evaluations.

  • Establishes baseline standards for meeting performance goals and monitors and maintains work performance quality standards.

  • May assign and/or schedule work, conducts on-the-job training and answer job-related questions.

  • Ensures timely and accurate flow of information to staff and senior management.

  • Also maintains effective communication with other hospital employees in related departments/practices, when necessary to ensure efficient departmental/practices operations.

  • May coordinate department/practice activities with patient care and other services.

  • Responds to department/practice related inquiries, address problems, take corrective action and refer unresolved matters to department/practice Manager or appropriate others as necessary.

  • Management of daily operations & fiscal aspects of the department (s), make operational/administrative decisions.

  • Demonstrates ability to manage Department/Division in a fiscally responsible manner.

  • Collects information related to department/practice operations and assist in the preparation of summaries and reports as required.

  • May gather data to aid in the creation of the departmental/practice budget.

  • Coordinates and oversees the resources of multiple administrative disciplines/functions.

  • Identify revenue cycle best practices and supports implementation within the department (s).

  • Develops and maintains goals/practices to maintain a high level of Employee Engagement.

  • Identify and maintains goals/practices to provide patients with exceptional experience.

  • Coordinates and attends daily huddles.

  • Develop policies and procedures to improve staff performance and operational efficiency.

  • Collaborate and interface with other WPH hospital departments for marketing, communications, compliance, quality, patient satisfaction, etc.

  • Maintains safety standards to ensure maximum protection for patients and staff.

  • Attends and participates in departmental/practice meetings, as needed.

  • Support customer service initiatives as well as interact with patients or others on customer service issues.

  • Performs all other related duties as assigned.


Education & Experience Requirements


  • High School diploma (required) with relevant 5+ years’ experience.

  • Undergraduate degree (preferred), Master’s degree in related field preferred.

  • Previous experience in hospital based ambulatory setting required.

  • Basic medical terminology, Electronic Scheduling and Electronic Medical Record experience required.


Physical /Mental Demands/Requirements & Work Environment


  • Ability to perform computer work for extensive periods of time.

  • Occasionally move and/or transport of 15 to 20 pounds.

  • Requires movement about the department frequently throughout the day.

  • Ability to remain in stationary position for extended periods of time.

  • May be exposed to chemicals necessary to perform required tasks.

  • Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) data base and may be accessed through the hospital’s Intranet site (Employee Tools/SDS Access).

  • A copy of the SDS data base can also be found at the hospital switchboard, saved on a disc.
