  • Managing outpatient medical and psychiatric provider schedules, including time-off approvals.
  • On-Call Psychiatric Practitioner Schedule management.
  • Payroll processing for practitioners, including timecards and on-call time.
  • Manage practitioner schedules in the EHR scheduler, including time-off requests.
  • Data management of On-Call documentation, volume monitoring and payroll reports.
  • Productivity report monitoring (monthly/quarterly).
  • Support outpatient billing with note corrections as needed.
  • Lead staff meetings with Chief of Psychiatry and address performance concerns.
  • Outpatient Call Center / Services management.
  • Recruitment, training, and support of call center staff.

Duties and Responsibilities
  • Managing outpatient medical and all psychiatric provider schedules for outpatient and inpatient services, including approval requests for days off, vacation requests, and call‑out coverage
  • On‑Call Psychiatric Practitioner Schedule management
  • Payroll processing for identified practitioners, including timecards for scheduled hours, per diem pick‑up forms, and On‑Call timecard management
  • Management of practitioner schedules in the EHR scheduler with available hours, changes, and time‑off requests
  • Data management of On‑Call documentation, monitoring volume, services, and reports for payroll
  • Productivity report monitoring (monthly/quarterly aggregations)
  • Monitoring reports to support outpatient practitioner billing (note corrections, notes in draft)
  • Participation in scheduled practitioner supervision/staff meetings with the Chief of Psychiatry, as requested
  • Collaboration with the Chief of Psychiatry to address performance‑related concerns
  • Duties as assigned by the supervisor
  • Outpatient Call Center / Outpatient Services management
  • Project management of the Just‑In‑Time model and monitoring of access
  • Monitoring Call Log and Elevate reports to ensure staffing meets call volume
  • Recruitment, training, and support of staff for the outpatient call center
  • Creating workflows, training documents, and service information as needed
  • Supporting the call center by answering phones, scheduling appointments, and providing service coverage as needed
  • Coordinating between the outpatient call center and identified outpatient services/program leadership to ensure communication and effective problem‑solving
  • Monitoring missed‑visit reports, return‑appointment reports, and outreach to ensure patient coordination
  • Monitoring the Event Notification system to coordinate notifications to programs
  • Chairing and attending monthly provider/health service committees, OP/Community‑Based Standards, and other committees as assigned
  • Assisting in the enhancement of professional growth through staff meetings, case conferences, and in‑service trainings
  • Responsible for continued education in the field of substance abuse, mental health, and related courses
  • Attendance at quarterly ACCS Human Rights Committee as third‑party reviewer
  • Other duties as assigned
