Job summary

Penn Medicine in Doylestown is seeking an experienced Medical Office Administrator to coordinate and supervise physician practice operations, ensuring professional and timely office and billing activities.

You will provide leadership to the office staff and offer administrative support to the Director and supervising physicians, maintaining compliance with policies and regulations while delivering excellent patient service.

Qualifications

  • H.S. Diploma or GED required.
  • Medical office experience (4+ years) preferred.
  • Associate or Bachelor degree in any field.
  • Experience with eClinicalWorks, Navinet and MS Office is a plus.

Responsibilities

  • Coordinate and supervise physician practice operations; ensure timely office and billing activities.
  • Provide leadership and expertise to office staff and support to the Director of the practice.
  • Adhere to HR, finance, quality and regulatory requirements for the center.

Summary
  • Coordinates, supervises, and maintains responsibility for physician practice under the Doylestown Health Physicians. Ensures professional, courteous, timely, and accurate functioning of all office and billing activities. Provides leadership and expertise to the office staff and administrative support to the Director and the physician's in charge of the practice.
Responsibilities
    1. FINANCE: a. Monitor and adhere to financial plan. b. Monitor, control and implement in Accounts Receivable. c. Execute sound decisions that consider cost/benefit. d. Accurately estimate expense levels for budget, and other factors. e. Demonstrate innovation in reducing expenses. f. Control overtime of staff to minimum levels. a. Utilize financial resources wisely and efficiently while maintaining a commitment to quality.
    2. QUALITY IMPROVEMENT/RISK MANAGEMENT: a. Demonstrate concern and take appropriate action to protect the welfare and safety of employees and patients. b. Demonstrate concern for internal and external customers and for delivering services that meet or exceed their expectation. c. Understand and meets all OSHA requirements. d. Implement quality improvement initiatives. e. Carry out in-depth analyses of department performance. f. Recognize and reward initiatives to gain customer trust and respect
    3. HUMAN RESOURCES: a. Adhere to Human Resources policies and procedures in an efficient and timely manner. b. Conduct performance evaluations in timely manner. c. Ensure employees maintain required licensure/certification as required d. Ensure employees obtain required testing. e. Direct efforts towards personnel’s improvement of job knowledge. f. Encourage staff development through training, seminars, workshops
    4. COMMUNICATION/OPERATIONS: a. Demonstrate skill in communicating with others orally (for example, conducting meetings or speaking). b. Hold regular and informational meetings with staff and/or physicians as necessary. c. Communicate and implement organizational policies and procedures to staff on timely basis. d. Attend management meetings and effectively participates. e. Ensure distribution of communication materials from within organization. f. Write reports and memos which are clear and useful.
    5. PLANNING, INNOVATION AND CHANGE: a. Establish both short and long-term plans to meet future needs. b. Demonstrate foresight in recognizing problems in areas of responsibility. c. Foresee changes and trends relevant to area of responsibility. d. Adhere to schedules and plans. e. Initiate and manage change when necessary and appropriate. f. Act quickly to correct or prevent problems. g. Generate ideas and creative solutions.
    6. DECISION MAKING, JUDGEMENT AND INTEGRITY: a. Accumulate all relevant information prior to making job-related decisions. b. Present well considered alternatives when making recommendations. c. Execute decisions in a timely manner. d. Communicate to all affected parties prior to implementing decisions. e. Exhibit high ethical standards of personal conduct. f. Demonstrate consistency in behavior regardless of circumstances. g. Open and honest in dealing with others. h. Maintain confidentiality. i. Earn trust by following through and keeping commitments.
    7. KNOWLEDGE AND MANAGEMENT EFFECTIVENESS: a. Demonstrate a thorough understanding of job specific knowledge and skills. b. Understand what is required to be successful in the industry. c.     9. SPECIFIC DUTIES FOR SURGERY CENTER: a. Provides daily leadership for all staff, responsible for maintaining appropriate staffing levels. b. Provides daily oversight for non-clinical staff. c. Assures compliance with regulatory, accreditation and Medicare participation parameters; suggests revised policies/procedures as necessary. d. Monitors performance of services providers. e. Reviews and approves Center supply and proposes capital expenditures. f. Manages business and financial systems; oversees staff carrying out these activities. g. Participates in planning and implementing strategic initiatives. h. Serves as point of contact for federal, state or local authorities, and for accrediting body. i. Serves as point of contact for outside advisors including legal counsel insurance provider and others. j. Serves as Center’s privacy officer in conjunction with Doylestown Health. k. Participates in Center committees as assigned. l. Reviews results of QAPI efforts prior to presentation to MAB and/or Governing Body. m. Prepares agenda and minutes for MAB and Governing Body meetings. n. Assesses proposed agreements with service and supply providers; proposes new/revised arrangements for approval by Governing Body. o. Protects patients’ privacy. p. Adheres to all Center policies. q. Responds to Center emergencies.
    10. PERFORMS OTHER DUTIES AND RESPONSIBILITIES WHICH ARE REQUIRED TO ASSURE PROPER ADMINISTRATION AND MANAGEMENT OF THE PRACTICE: a. Responsible for facilities and premises management. 1. Janitorial Services 2. Repairs/Maintenance 3. Utilities b. Risk management to include liability protection, physician malpractice, OSHA & CLIA compliance, patient safety & HIPAA Compliance. c. EHR incentive programs-Meaningful Use, PQRS. d. Acts as a liaison between Physicians and patients, pharmaceutical Reps, physicians.
Credentials
  • Medical Assistant - PSV Manual

  • Medical Assistant Certification

Education or Equivalent Experience
  • H.S. Diploma/GED (Required)

  • Minimum 4 years medical office experience. Experience with e Clinical Works, Navinet and Microsoft Office Products (Word, Excel, Outlook, and others).

  • Associate of Arts or Science

  • Bachelor of Arts or Science

  • Minimum 4 years medical office experience in an urgent care setting. Billing and accounting experience.
