Job summary

Susser Bank seeks a detail-oriented Post-Closing Documentation & Imaging Specialist to manage the receipt, review, imaging, indexing, storage, and maintenance of all post-closing loan documents. This role ensures documents are accurately maintained within Synergy, note vault, and collateral files, supporting compliance and audit readiness.

The specialist will oversee physical document control, imaging accuracy, and timely retrieval for audits and servicing, while coordinating with title

Qualifications

• Experience with post-closing loan documentation and imaging processes.
• Strong understanding of collateral documentation and perfection requirements.
• Ability to manage physical loan files and maintain original document retention.
• Excellent organizational and time-management skills.
• Proficiency with Microsoft Office applications.

Responsibilities

• Receive, review, and process post-closing loan documentation.
• Maintain control of original notes, security instruments, and other wet-signed documents.
• Route, track, and store documents in note vault or designated storage.
• Monitor title policies, UCC filings, and collateral-related items.
• Audit physical loan files for completeness and accuracy.
• Coordinate retrieval of documents for audits, servicing, and examinations.
• Maintain records storage systems and tracking logs.
• Scan, upload, and index documents in the Synergy Imaging system.
• Ensure correct classification and indexing of post-closing documents.
• Review imaged documents for completeness and proper borrower association.
• Use imaging workflows for efficient processing and add metadata as needed.
• Identify and resolve duplicate or misfiled documents.
• Support correction and deletion workflows per policy.
