Qualifications

  • Bachelor’s degree required; finance/economics preferred.
  • Active Series 7 and Series 66 licenses or willingness to obtain within specified timelines.

  • Detail-oriented, analytical, and committed to client confidentiality.

Responsibilities

  • Portfolio Execution & Rebalancing: manage client allocations and rebalance per investment models and risk tolerances.
  • Trading & Cash Management: place trades and monitor portfolio cash balances.
  • Client Liaison & Problem Solving: act as bridge between advisors, administration, and clients to resolve inquiries and facilitate transfers.
  • Financial Analysis & Reporting: build analyses, 401(k) and HSA reviews, tax planning spreadsheets, cost-basis reports, proposals.
  • Operational Excellence: maintain models, handle ad hoc requests, and deliver precise reports for advisor workflows.
  • Compliance & Continuous Improvement: stay ahead of regulations and identify improvements to internal processes.

At HFS Wealth Advisors we are a provider of comprehensive wealth management and investment services for individuals and businesses. At HFS Wealth Advisors we specialize in wealth management, including planning for retirement, education, legacy, and other life goals through comprehensive investment and wealth management advice. We work with clients to understand the life they envision and how working with a Client Advisor can help them achieve those goals. We develop a one-on-one relationship with each client to understand their lifestyle, their loved ones and the legacy they desire.

The Portfolio Administrator will be responsible for supporting the Chief Investment Officer and the Client Advisors to manage the client portfolios and support the Advisor in serving the client. This is an entry level to early career position that offers a fantastic opportunity to work closely with clients and advisors on complex financial planning. This will set you up for success by developing high value skills. We are looking for a highly ambitious candidate with a desire to pursue professional credentials such as the CFA, and an internal desire to grow alongside our team. The following key responsibilities will be required from the candidate.

Key Responsibilities:
  • Portfolio Execution & Rebalancing: Manage client portfolio allocations and execute rebalancing in alignment with established investment models, risk tolerances, and investment policy standards.
  • Trading & Cash Management: Place trades utilizing approved software as directed by the CIO and actively monitor/manage portfolio cash balances.
  • Client Liaison & Problem Solving: Act as a key bridge between Client Advisors, administration, and clients to resolve technical inquiries, facilitate asset transfers, and drive product openings to successful completion.
  • Financial Analysis & Reporting: Build and deliver targeted analysis, including 401(k) and HSA reviews, tax-planning spreadsheets, cost-basis reports, and new client proposals.
  • Operational Excellence: Act as the operational backbone for our investment team by maintaining software models, executing ad hoc requests, and delivering precise reports that keep advisor workflows moving seamlessly.
  • Compliance & Continuous Improvement: Stay ahead of industry regulations and compliance standards while actively identifying and recommending improvements to internal systems and procedures.
Qualifications:
  • Education: Bachelor’s degree required; a strong academic foundation in finance, economics, or a related field is preferred.
  • Licensing: Active Series 7 and Series 66 (or 65) licenses are a strong plus. Candidates without licenses must be willing and able to obtain the Series 7 within 120 days of employment and the Series 65/66 within 180 days as a condition of employment.
  • Technical Acumen: High proficiency in Microsoft Office suite (specifically advanced Excel) and familiarity with modern Client Relationship Management (CRM) platforms.
  • Communication & Collaboration: Exceptional written and verbal communication skills, with a natural ability to collaborate across teams and partner effectively with colleagues.
  • Core Mindset: Detail-oriented, highly analytical, goal-driven, and strictly committed to client confidentiality and ethical business practices.
