Job summary

The AI Policy Network (AIPN) seeks an Events Manager to own end-to-end logistics for bipartisan policy events in Washington, D.C. The role drives venue sourcing, contracts, catering, AV, and registration while coordinating travel for speakers and VIP attendees.

You will partner with leadership to shape strategic event directions, maintain calendars, track outcomes, and improve future events with data-driven feedback. Hybrid role with on-site duties for all events.

Qualifications

• 3–6+ years of events experience in advocacy, nonprofit, or similar settings.
• Proven track record of independently managing events from logistics through on-site execution.
• Excellent organizational skills and attention to detail under deadlines.
• Strong interpersonal and written communication; comfortable as the face of the organization.
• Based in Washington, D.C. or willing to relocate; hybrid role with on-site presence for all events.

Responsibilities

• Plan and execute end-to-end event logistics (venue, catering, AV, registration, materials).
• Create detailed timelines and run-of-show documents; manage day-of staffing.
• Oversee on-site execution and real-time troubleshooting to ensure flawless events.
• Coordinate travel, accommodations, and scheduling for speakers, staff, and VIPs.
• Manage event budgets and reconcile costs against approved spend.
• Coordinate with government affairs, donor relations, communications for branding and follow-up.
