Qualifications

General Job Description Position Overview The Plumbing Coordinator is responsible for supporting plumbing operations by coordinating project schedules, permits, inspections, documentation, materials, and administrative activities to help ensure projects are completed efficiently and in accordance with company standards. This role serves as a key point of coordination between field personnel, project managers, customers, vendors, subcontractors, and local jurisdiction authorities.

Primary Responsibilities
  • Coordinate daily scheduling of plumbing technicians and subcontractors to support project timelines and operational needs.
  • Process plumbing permit applications, maintain permit tracking logs, and coordinate applicable licensing requirements.
  • Schedule inspections with municipalities and assist with ensuring compliance with applicable plumbing codes and jurisdictional requirements.
  • Maintain accurate project documentation, contracts, work orders, permits, inspection records, and related information within company systems.
  • Assist project managers with project planning, scheduling, coordination, and execution activities.
  • Communicate project schedules, status updates, inspection information, and other relevant details to customers, builders, field personnel, and internal teams.
  • Order and track plumbing materials and equipment to help ensure accurate and timely delivery to projects.
  • Coordinate certificate of insurance (COI) requests, licensing documentation, and other project-related requirements.
  • Monitor project timelines and proactively identify and address scheduling conflicts, delays, and coordination issues.
  • Process invoices, purchase orders, vendor documentation, and related administrative records as needed.
  • Support plumbing service and construction teams with scheduling, documentation, communication, and other administrative functions.
  • Prepare and maintain reports related to permits, inspections, project progress, material deliveries, and workforce scheduling.
  • Ensure assigned activities are performed in accordance with company policies, safety requirements, and applicable regulations.
  • Provide professional customer service and maintain effective working relationships with customers, vendors, inspectors, municipal officials, and internal teams.

Minimum Education None Minimum Years of Experience 2-4 Specific Qualifications Required Skills and Abilities Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment. Excellent verbal, written, and interpersonal communication skills. Strong attention to detail, accuracy, follow-through, and documentation. Strong problem-solving and decision-making abilities. Ability to effectively communicate and coordinate with field employees, customers, builders, inspectors, municipalities, vendors, subcontractors, and internal teams. Ability to read and interpret construction plans, specifications, and related project documentation. Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Teams. Proficiency in data entry, document management systems, and applicable company software. Knowledge of plumbing permits, inspections, licensing requirements, and applicable local, state, and municipal plumbing codes preferred. Experience with construction management software preferred. Understanding of applicable OSHA safety requirements preferred. Strong customer service skills with the ability to maintain professionalism and confidentiality. Ability to work independently while collaborating effectively with project managers, field personnel, and other departments.

Education/Experience

High school diploma or GED required. Minimum of two years of administrative, construction coordination, plumbing industry, or related experience required. Associate degree in Business Administration, Construction Management, or a related field preferred. Previous experience coordinating plumbing permits, inspections, licensing, or construction activities preferred.

Physical Requirements and Work Environment
  • Ability to sit for extended periods while working at a computer and performing administrative duties.
  • Ability to occasionally lift and carry up to 25 pounds.
  • Work is performed primarily in an office environment with occasional visits to active jobsites.
  • Ability to travel locally for permit submissions, inspections, company meetings, or other business needs as required.
  • Ability to work standard business hours with occasional overtime or modified schedules as necessary to support project deadlines and operational requirements.
  • This position is not eligible for visa sponsorship or work authorization support.
  • Candidates must be authorized to work in the United States on a full-time basis without current or future need for employer sponsorship.
