Job summary

Houston Strong is seeking an Intake Coordinator responsible for screening referrals, coordinating placements, and managing intake documentation from DFPS, Juvenile Probation, and other entities. You will be the bridge between families and Houston Strong, ensuring every child is matched with a safe, supportive home.

The role requires detail orientation, compassion, and the ability to thrive in a fast-paced environment while maintaining databases, facilitating communication, and supporting events

Responsibilities

  • Screen and process all placement referrals.
  • Match children with families equipped to meet their needs.
  • Coordinate intake documentation, background checks, and assessments.
  • Maintain daily updates to the Child Vacancy Database.
  • Enter placement data into CLASS within 24 hours.
  • Participate in matching meetings and advocate for families.
  • Provide orientation and follow-up visits for newly placed children.

Job description

The Intake Coordinator plays a vital role in the early stages of foster care and adoption, serving as the first point of contact for families and agencies. This position is responsible for screening referrals, coordinating placements, and managing intake documentation from DFPS, Juvenile Probation, and other entities. You’ll be the bridge between families and Houston Strong—ensuring every child is matched with a safe, supportive home.

You’ll manage databases, facilitate communication, and support promotional efforts and events that enhance the placement experience. This role is perfect for someone who combines administrative precision with a heart for service.

Key Responsibilities
Referral & Placement Coordination
  • Screen and process all placement referrals
  • Match children with families equipped to meet their needs
  • Coordinate intake documentation, background checks, and assessments
  • Maintain daily updates to the Child Vacancy Database
  • Enter placement data into CLASS within 24 hours
  • Participate in matching meetings and advocate for families
  • Provide orientation and follow-up visits for newly placed children
Administrative & Program Support
  • Organize files, manage correspondence, and prepare reports
  • Maintain accurate client records and documentation
  • Schedule meetings and coordinate logistics
  • Support department staff with administrative tasks
  • Ensure foster homes meet regulatory standards
Community Engagement & Events
  • Liaise with donors, providers, and community partners
  • Plan and manage promotional activities and placement-related events
  • Coordinate with vendors and venues to ensure event success
  • Represent Houston Strong’s mission to families and stakeholders
Compliance & Quality Assurance
  • Ensure all deadlines and documentation requirements are met
  • Respond promptly to referrals and placement requests
  • Track referral statistics for program planning
  • Implement corrective actions when needed
  • Attend required trainings and meetings
Qualifications

Education & Experience (Choose One):

  • Option 1: Bachelor’s degree + 9 credit hours in family/individual interaction + 2 years in a child-placing agency
  • Option 2: High school diploma/GED + 3 years in a child-placing agency
Required Skills:
  • Proficiency in MS Office and database management
  • Strong interpersonal, organizational, and communication skills
  • Ability to work compassionately with diverse clients
  • Experience managing multiple projects in a fast-paced setting
Preferred Experience:
  • 3 years providing treatment services for children with emotional disorders (1 year in residential care)
  • 2+ years in child placement or human services
  • Familiarity with public/private social service delivery
