Job summary

Austin Wildlife Rescue is seeking a detail-oriented Philanthropy Assistant to support fundraising, donor relations, and community engagement, working with the Executive Director to coordinate grants and events.

This full-time hybrid role covers grant administration, stewardship, outreach, and administrative support, with opportunities to impact care for thousands of injured and orphaned Texas wildlife.

Qualifications

  • Minimum of two years’ experience with nonprofit fundraising, donor relations, grant administration and/or event planning.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Comfortable working independently while collaborating with a small team.
  • Proficiency with Microsoft Office and/or Google Workspace.
  • Experience with donor database software is preferred but not required.

Responsibilities

  • Research prospective grant opportunities that align with Austin Wildlife Rescue's mission.
  • Maintain grant calendars, deadlines, and reporting schedules.
  • Track grant submissions, awards, and reporting requirements.
  • Assist with gathering information and supporting documentation for grant applications.
  • Assist with donor acknowledgments, thank-you letters, and stewardship emails.
  • Help ensure timely donor recognition and follow-up communications.
  • Assist with maintaining accurate donor records and tracking stewardship activities.
  • Support donor appreciation initiatives and special recognition efforts.
  • Assist in planning and coordinating fundraising events from concept through execution.
  • Track event timelines, sponsorships, vendors, registrations, and logistics.
  • Help develop event materials including invitations, programs, signage, nametags, auction materials, sponsor recognition, and other printed materials.
  • Coordinate event details to ensure successful execution.
  • Assist with tabling events, community festivals, and outreach opportunities.
  • Help prepare outreach displays, educational materials, and promotional materials.
  • Represent Austin Wildlife Rescue professionally at community events under the guidance of the Executive Director.
  • Maintain organized records, tracking spreadsheets, and project timelines.
  • Assist with donor and event follow-up.
  • Support special fundraising campaigns and philanthropy initiatives.
  • Perform other philanthropy-related duties as assigned.

Job description

Austin Wildlife Rescue is seeking a detail-oriented, organized, and creative Philanthropy Assistant to support our fundraising and community engagement efforts. This position works directly with the Executive Director to help coordinate grants, donor stewardship, fundraising events, and community outreach activities that provide critical support for thousands of injured and orphaned native Texas wild animals each year.

Responsibilities/Duties

Research prospective grant opportunities that align with Austin Wildlife Rescue's mission.
