Job summary

The Ward Law Group, PL is seeking an Intake Case Operations Manager to lead our Miami Lakes, Florida team. This on-site role focuses on overseeing daily intake operations, improving case support, and delivering a consistently excellent client experience in personal injury matters.

You will partner with attorneys and leaders to streamline processes, utilize Litify, and drive KPI-based performance. A strong emphasis on coaching, staffing, and data-driven improvements defines this opportunity.

Qualifications

• At least three years of operations management in a plaintiff personal injury law firm.
• Experience supervising staff, coaching performance, and managing departmental workloads.
• Proficiency with legal case management systems; Litify experience preferred.

Responsibilities

• Oversee daily intake and case support operations with clear priorities and workload balance.
• Lead and coach staff, define performance expectations, and address training gaps.
• Monitor KPIs: case progression, aging tasks, response times, workload, quality.
• Identify bottlenecks across intake, pre-litigation, litigation support, and closing; coordinate improvements.
• Develop and maintain standard operating procedures, quality checks, and staff training.
• Enhance use of Litify and reporting tools to improve documentation and visibility.
• Partner with HR on staffing, onboarding, and performance management.
• Keep leadership informed of results, staffing needs, and issues needing attention.
