Permit Assistant

We are the premier independent service provider for our nation’s critical infrastructure with over 2,500 team members nationwide. Pearce delivers comprehensive engineering, maintenance, repair, and repowering solutions for wireless and wireline telecom, commercial and utility‑scale solar and wind projects, EV charging stations, large‑scale power generation, critical power and energy storage assets.

Your Impact

The Permit Assistant is a key team member who performs duties such as maintaining files, record keeping, monitoring schedules, verifying reports, and data processing. The position assists the Permit Manager with administrative duties and supports Permit Coordinators with jurisdictional follow‑ups.

Core Responsibilities
  • Complete mail‑in order permits
  • Work with internal, global, and jurisdictional teams for permit follow‑ups.
  • Maintain data accuracy within permitting for the region
  • Work with internal permitting and project teams to fulfill needed permit admin duties.
  • Coordinate with a team of engineers at ISP/CWIP central office and access jobs to review projects for completion, corrections, and preparation for Teco and closure.
  • Facilitate conference calls or messaging with stakeholders for status of ongoing projects.
  • Maintain tracker of open projects with status data and other pertinent data.
  • Coordinate CDFS/FT3 construction projects, review OSP/ISP completion and Test and Turn‑up, and ensure construction Final Cups are reviewed and accepted by customers before submitting for Teco/Verify Actuals/Closure team.
  • Update Salesforce (Sitetracker) and WFMT as appropriate.
  • Coordinate with Engineers to ensure project structure is accurate and funding levels have been approved.
  • Make AANP submissions to process accounting corrections or zero closure of cancelled projects.
  • Work with databases and systems: NDS, Fireworks, BidMaster, AANP, Cosmo, JDS, Microsoft Office Apps, NBIE, FORTE, FACS, WFMT, Salesforce, Armor.
  • Demonstrate accuracy and thoroughness, look for ways to improve quality, and monitor own work to ensure quality.
  • Meet permitting admin KPI standards.
  • Monitor Permitting KPIs for the project team to guide assistance.
Core Experience
  • High School Diploma or GED required.
  • 1–2 years of office administration experience preferred.
  • Experience with permitting agencies and OSP telecom or utility builds preferred.
  • Residency in the Eastern Standard Time zone preferred.
  • Strong analytical and problem‑solving skills required.
  • Proficiency in Microsoft Office applications – Excel, PowerPoint, Word, Visio.
  • Ability to perform and prioritize work with minimal supervision.
  • Handle multiple priorities with strong attention to detail in a fast‑paced environment.
  • Strong interpersonal, organizational, oral, and written communication skills.
  • Work alone and with a team.
  • Travel up to 50% of the time, by air or vehicle; majority to local post office or municipal office.
  • Valid driver’s license and acceptable driving record.
  • Detail‑oriented and able to maintain internal and customer tracking systems.
