Position Summary

The Payroll & HRIS Operations Specialist is a hands‑on individual contributor with functional ownership of payroll and HRIS data operations across multiple business units. This role executes complex payrolls; ensures accurate, timely, and compliant processing; maintains HRIS data integrity; and resolves issues through final resolution. The position partners closely with HR, Finance, Benefits, and business leaders to strengthen controls, improve processes, and support reliable workforce data and reporting.

Key Responsibilities
Payroll Operations & Compliance
  • Execute and validate end-to-end payroll processing for multiple business units, legal entities, and employee populations.
  • Review earnings, deductions, garnishments, taxes, adjustments, bonuses, commissions, and special payroll activity for accuracy and proper authorization.
  • Ensure compliance with company policies and applicable federal, state, and local payroll and tax requirements.
  • Support payroll tax filings, reconciliations, audits, and year-end reporting, including Forms W-2 and other required filings.
  • Investigate payroll discrepancies and employee inquiries, identify root causes, and coordinate timely resolution.
  • Maintain payroll procedures, documentation, controls, and quality‑assurance practices.
Payroll Accounting & Controls
  • Reconcile payroll, payroll taxes, benefit deductions, accruals, and related general‑ledger and balance‑sheet accounts.
  • Prepare payroll journal entries and supporting documentation and partner with Finance during month‑end close.
  • Analyze variances, trends, and control exceptions and implement corrective actions and process improvements.
  • Maintain complete, audit‑ready payroll records and support internal and external reviews.
HRIS Data Operations & Systems
  • Own the accuracy and integrity of employee, payroll, position, compensation, and related HRIS data.
  • Process and audit employee data changes, mass uploads, system transactions, and data corrections in accordance with established approvals and controls.
  • Monitor data quality, reconcile information across systems, and resolve discrepancies with HR, Finance, Benefits, and vendors.
  • Serve as a functional resource for payroll and HRIS configuration, workflows, security access, reporting, and system capabilities.
  • Troubleshoot system issues; coordinate testing, upgrades, integrations, and enhancements; and validate results before implementation.
  • Develop recurring and ad hoc reports that support payroll, compliance, workforce analysis, and business decision‑making.
Business Partnership & Plan Support
  • Serve as the payroll and HRIS data operations subject‑matter expert within a shared‑services HR environment.
  • Partner with HR, Finance, Benefits, and business‑unit leaders to resolve issues, clarify requirements, and improve processes.
  • Support payroll‑related benefit and retirement plan deductions, contributions, loans, reconciliations, audits, and issue resolution.
  • Maintain confidentiality and appropriate access to sensitive employee and payroll information.
