Job summary

Northern Light Health is seeking a Payroll and HR Operations Analyst to bridge Payroll and HR across systems, projects, and compliance. You will analyze processes, support upgrades, and ensure accurate, timely employee payments in a fast-paced environment.

This role involves audits, data validation, reporting, and training, with collaboration across HR, Payroll, IS/ERP and Leadership to drive continuous improvement and regulatory compliance.

Qualifications

  • Bachelor's Degree required or two years per year of college as substitute.
  • 2 years of relevant work experience in payroll or HR operations.
  • Experience with payroll systems, HRIS/ERP, and compliance.
  • Ability to analyze processes, document improvements, and train users.

Responsibilities

  • Partner with HR/Payroll/ERP teams to address payroll and HR needs through process improvements.
  • Support system upgrades, regulatory changes, testing, training, and change management for payroll/HR applications.
  • Collaborate with users and IT to optimize payroll and HR systems, interfaces, and integrations for accuracy and compliance.
  • Provide API coding backup, payroll corrections, and compliance support for Maine paid family leave and other leaves.
  • Perform audits, data validation, reporting, and monitoring to ensure data integrity and regulatory compliance.

Summary

The Payroll and HR Operations Analyst has a matrix reporting relationship to the Payroll Supervisor and HR Operations Manager and acts as an operational bridge between Payroll and HR. The position is responsible for enhancing operational excellence and day-to-day operations in a fast-paced environment, including working on process flows, process improvement, standardization efforts, issue resolution, system testing, auditing, reporting, and end user adoption, education and training. Provides project support to the Payroll and HR Operations and Rewards departments, working independently and collaboratively with HR, Payroll, and IS/ERP. Serves as a subject matter expert to Payroll and HR Operations end users, including managers and employees. Additionally, the role collaborates with leadership on compliance oversight, system maintenance, and adjustment approvals to ensure compliance with federal, state, and organizational requirements, especially in areas where Payroll and HR responsibilities intersect. Critical thinking, problem solving, and flexibility to handle changing priorities based on business and system needs are critical to success in this role.

Responsibilities
  • Partners with members of the HR/Payroll/ERP teams to address HR and Payroll-related needs through process enhancement, creation, and collaborative problem solving.
  • Support system upgrades, implementations, regulatory changes, and enhancement projects, including testing, validation, end-user training, and change management activities tied to Payroll and/or HR applications.
  • Collaborates with functional users and technical resources to administer, configure, support, and optimize Payroll and HR systems, applications, interfaces, and integrations to ensure accurate, efficient, and compliant operations.
  • Provide backup for API coding, reporting, and Payroll correction support to meet requirements for Maine Paid Family Leave and other Leaves of Absences to help ensure proper and timely employee payments.
  • Troubleshoot, research, and resolve Payroll and HR system issues, including interface failures, API errors, file transmission issues, payroll discrepancies, and escalated operational concerns.
  • Create and maintain standard operating procedures and technical documentation for system procedures, taxes, process maps, and knowledge resources to support Payroll and HR system continuity.
  • Perform audits, data validation, reporting, and monitoring activities to ensure data integrity and adherence to federal, state, and organizational requirements, including leave administration, multi-state taxation and benefits compliance, and payroll compliance programs.
  • Routinely engages in cross-training opportunities that benefit the Payroll and HR team, such as understanding Paid Time Off plans, Leaves of Absence programs, and out-of-state benefits and taxes.
