Job summary

Illinois Tollway is seeking a Payroll Analyst to ensure accurate, timely payroll processing and compliance with state guidelines. You will collaborate with the Payroll Manager, Payroll Administrator, and other departments to meet deadlines and maintain internal controls.

You will handle data preparation, audit responses, and support for union contracts, Direct Deposit, Flexible Spending, and Kronos timekeeping, while delivering excellent customer service to internal customers.

Qualifications

  • Associate’s Degree or equivalent accounting experience required.
  • Minimum of three (3) years of payroll experience.
  • Proficiency in Microsoft Word, Excel and Outlook.
  • Excellent organizational and written communication skills; strong analytical abilities.

Responsibilities

  • Process payrolls timely based on the Comptroller’s schedule and state guidelines.
  • Coordinate with internal departments and the Comptroller’s Office.
  • Prepare payroll data as assigned by the Payroll Manager/Administrator.
  • Assist in internal and external audits and respond to audit requests.
  • Familiarize with union contracts and payroll projects (Direct Deposit, Flexible Spending, Kronos).

In support of this mission, this incumbent will assist the Payroll Manager and Payroll Administrator in coordinating the daily operations of the Payroll Division. This position ensures that all payroll needs of the Tollway are met, that good internal control is maintained and that State Comptroller rules are followed. The Payroll Analyst reports directly to the Payroll Administrator as do the other three Payroll Analysts.

Essential Job Functions
  • The incumbent assists the Payroll Manager and Payroll Administrator to ensure that all payrolls are processed timely, based on the Comptroller’s Office schedule, and in accordance with all State guidelines.
  • Internal contacts include all departments within the Tollway to ensure payroll needs are met. External contacts include the Comptroller’s Office, as well as various State agencies as needed.
  • The Payroll Analyst will be responsible for the preparation of payroll data as assigned by the Payroll Manager and Payroll Administrator.
  • The incumbent will be responsible for assisting the Payroll Manager and Payroll Administrator with internal and external audit requests for any Tollway audits, working with these individuals to ensure that all recommendations to increase efficiency are met.
  • The Payroll Analyst will be familiar with all union contracts and the different provisions of each. In addition, the incumbent will assist in all payroll projects including the Direct Deposit Program, Optional Life Insurance Programs, Flexible Spending Plans, Worker’s Compensation and the Kronos Time and Attendance System.
  • Satisfactory performance is measured through the timely, accurate, and efficient processing of all payrolls, for all pay codes assigned, while maintaining excellent customer service standards, both internally and externally.
  • To assist in all payroll processing as required and in all special projects under the direction of the Payroll Manager and Payroll Administrator related to the Payroll Division, including, but not limited to the Direct Deposit Program, Optional Life Insurance, Flexible Spending and the automated Kronos Time and Attendance Program.
  • To be thoroughly well versed in all aspects of all union contracts so that customer services can be accurately provided both internally and externally.
  • To assist in evaluating and implementing information communicated through payroll bulletins from the Comptroller’s Office.
  • Other duties as assigned.
Qualifications
Education (Required)
  • This position requires an Associate’s Degree or equivalent accounting experience, as well as a minimum of three (3) years of payroll experience.
Skills and Experience (Required)
  • Excellent knowledge of Microsoft Word, Excel and Outlook is required.
  • Strong organizational, interpersonal communication and written communication skills are required.
  • Excellent analytical skills are required.
Skills and Experience (Preferred)
  • Familiarity with various payroll/financial software programs is desired.
  • Knowledge of Kronos Workforce Timekeeper time and attendance, or other automated time and attendance software programs is highly desired.
