Job summary

Virginia Oncology Associates in Virginia Beach is seeking a Patient Services Coordinator to support our clinics in a fast-paced, in-person role. You will greet patients, handle paperwork, schedule visits, collect payments, and maintain accurate records with a strong focus on patient privacy.

The ideal candidate has medical office experience, proficiency with MS Office, and a willingness to travel between office locations as needed.

Qualifications

  • Receptionist or office experience preferred
  • 3 years of medical office experience with scheduling background in a busy practice strongly preferred
  • Proficiency with computer systems and Microsoft Outlook, Word, and Excel required
  • High school diploma or equivalent
  • Must be willing to travel to other office locations if needed

Responsibilities

  • Greet patients and visitors to the clinic in a prompt, courteous and professional manner; check in patients and inform staff of arrival
  • Provide and explain paperwork for patients to complete prior to examination; collect, proof for completeness, and file forms; update demographics and insurance information
  • Answer, screen, and respond to routine questions; route to appropriate personnel or take messages; page clinic staff as appropriate
  • Check patients out after examination; schedule return appointments; provide appointment details and directions
  • Record patient cancellations and missed appointments; reschedule as needed; notify staff and update patient chart
  • Provide general administrative support by filing charts and forms; maintain lobby and supply levels; ensure HIPAA compliance
  • Adhere to confidentiality and HIPAA laws; perform other duties as requested

Overview

Virginia Oncology Associates, the largest group of medical professionals in Hampton Roads and Northeast North Carolina devoted exclusively to cancer care and blood disorders has an exciting opportunity for a Patient Services Coordinator to support our offices in Virginia Beach.

Employment Type: Full-Time, In-Person

Benefits: M/D/V, Life Ins., 401(k)

Compensation Range: $17.10/hr - $21.05/hr

Actual compensation will be determined based on job-related factors such as, relevant experience, education, certifications, licensure, and skills that align with the role.

Responsibilities

  • Greets patients and visitors to the clinic in a prompt, courteous and professional manner. Checks in patients and informs clinical staff of patient arrival.
  • Provides and explains paperwork for the patient to complete prior to examination. Collects, proofs for completeness, and files patient forms. Updates demographics and insurance information in the system. Collects co-pays and balances; provides receipt.
  • Answers, screens, and responds to routine questions, routes to appropriate personnel, or take thorough messages. Pages clinic personnel as appropriate. Communicates messages in an accurate and timely manner according to procedures.
  • Checks patients out after examination. Schedules returning appointments in accordance with physician and/or office guidelines. Provides patients with appointment details such as time, location, directions, instruction sheets, and other details.
  • Records patient cancellations and missed appointments; reschedules appointments. Notifies appropriate staff of the cancellation and makes note in patient chart
  • Provides general administrative support by filing charts and forms. Maintains lobby area in a neat and orderly manner. Maintains a legible supply of forms and appropriate office supplies required for daily activities.
  • Adheres to confidentiality, state, federal, and HIPPA laws and guidelines with regards to patient’s records.
  • Other duties as requested or assigned.

WORK ENVIRONMENT: The work environment may include exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations and other conditions common to an oncology/hematology clinic environment. Work will involve in-person interaction with co-workers and management and/or clients. Work may require minimal travel by automobile to office sites.
