Job summary

Rushford Center Inc in Meriden is seeking a Medical Administrative Associate to provide administrative and operational support to ensure efficient clinic workflow and high-quality patient care.

You will use EPIC for scheduling, follow-ups, and communications, while handling provider reports, billing, and inventory. A background in medical office work with a behavioral health focus is preferred and CPR certification is required within six months.

Qualifications

  • High school diploma or GED required.
  • One year of experience in a medical office setting.
  • One year of experience in a medical office setting focused on behavioral health or substance use disorders is preferred.
  • Must obtain CPR certification within six months of employment.

Responsibilities

  • Utilizes EPIC to process patient care follow ups including appointment scheduling, injection appointments, and psych evaluations. Contacts patients to reschedule missed or cancelled appointments. “Checkout” virtual appointments as ambulatory visits in Epic daily.
  • Performs administrative duties including answering phones, creating and distributing electronic messages in EPIC for medical providers as well as updating and maintaining the provider productivity report when needed. Submits expenses on behalf of providers including reimbursements, travel expenses, and license renewals. Processes weekly Quest billing reconciliation for Medical Department.
  • Faxes prescription renewals; obtains laboratory results, referrals, and medication prior authorizations.
  • Updates Excel tracker for ambulatory and ITP injections, schedules injection deliveries, communicates with nursing staff upon injection arrival, and follows up on medication delivery issues.
  • Maintains supplies by managing medical department inventory and ordering as needed. Complete medical supplies audits monthly. Organizes and restocks Clinical rooms.
  • Collects Urine Drug Screens, places EPIC orders, prints slips & labels, prepares packages for pick up. Reports abnormal values/trends to medical staff.
  • Completes Clinical Opioid Withdrawal (COW) documents for new patients starting on suboxone, sends list of high risk suboxone patients weekly to OP/PHP Treatment Program Managers, and attends OP/PHP rounds for report out.
  • Covers Medical Service Coordinator & Medical Assistant duties.

Job Summary
