Patient Service Associate-Duke Primary Care-Heritage

Location: Heritage (Duke Primary Care). This role supports clinic operations, patient check-in/out, scheduling, billing interactions, and patient communications.

Responsibilities

• Coordinate and participate in daily clinic preparation processes, patient identification, patient check-in/out, charge posting, cash management, and patient appointment scheduling.
• Provide customer service, distribute messages, assist with ancillary scheduling and referrals management.
• Prepare for clinic visits by reviewing next-day patients, entering pre-visit orders, and preparing new patient charts.
• Handle patient records: pick up, file, return, attach HIPAA/Medicare documents, and ensure correct chart documentation.
• Check-in patients, verify demographic data in Maestro Care, and manage appropriate alerts.
• Collect and post co-payments and balances; manage cash handling according to policy.
• Explain billing to patients according to PRMO credit and collection policies; determine cash amounts based on insurance plans.
• Coordinate labs/procedures, prepare encounter forms, and schedule tests and procedures.
• Check-out patients and schedule return appointments with correct appointment type and physician assignments.
• Answer telephone calls and distribute messages to physicians, nurses, and staff; relay information accurately and timely.

Knowledge, Skills and Abilities

• Strong verbal and written communication.
• Basic PC and data entry skills; knowledge of medical terminology and telephone etiquette.
• Ability to organize and prioritize work, provide clear instructions, and maintain professional relationships with patients and staff.
• Ability to apply departmental policies related to verifying patient information, collecting payments, and maintaining records.
