Job summary

Cape Fear Valley Health System is seeking an organized Medical Office Clerk to support patient registration, scheduling, and billing operations in a fast-paced clinic setting.

Responsibilities include accurate data entry for ICD-10 and CPT-4 coding, transcription of non-medical dictation, and invoicing to the billing department. Strong English communication, attention to detail, and basic computer skills are required. Equal opportunity employer.

Qualifications

  • High school diploma or equivalent required.
  • 1 year of clerical experience required.
  • 1 year of medical business office or significant public contact preferred.
  • Proficiency in reading, writing, and speaking the English language.
  • Knowledge of ICD-10 and CPT-4 coding for Part B billables preferred.
  • Knowledge of medical terminology.
  • PC skills preferred.
  • Typing 45-55 words per minute accurately.
  • Tact and ability to deal with patients under stress.
  • Good planning and organizational abilities.
  • Speaking and hearing is necessary to converse with the public.
  • Physical requirements: manual dexterity and ability to lift/move as needed.

Responsibilities

  • Register patients expediently with accurate information.
  • Schedule initial and follow-up visits and procedures.
  • Ensure new patient information is complete and updated.
  • Receive calls regarding appointments; determine provider, length and type of appointment; schedule accurately.
  • Collect monies from patients; document receipts; prepare daily cash report.
  • Order outside tests requested by the doctor; schedule and confirm.
  • Enter ICD-10 and CPT-4 coding for patient activity daily.
  • Transcribe all non-medical dictation.
  • Submit billing invoices to billing/collection daily under supervision.
  • File, fax and/or mail reports and records.
  • Compile and submit month end reports in a timely manner.
  • Assist in tracking supply inventory; notify when supplies need reordering.
  • Greet and direct patients as receptionist per Guest Relations policy.
  • Assist as required in non-invasive medical procedures or as security observer.
  • Know where administrative/medical staff are located and relay emergency messages.
  • Other duties as assigned.

Summary

Ensure optimum patient flow through the office; accurate and prompt submission of invoices to billing/collection department; initiation and maintenance of medical records; accurate, efficient scheduling of patient visits and accurate entry of ICD-10 and CPT-4 codes for patient charge and documentation purposes; accurate transcription of non-medical dictation; timely submission of reports.

Major Job Functions
  • Register patients expediently while obtaining accurate information
  • Schedule patient appointments for initial and follow-up visits and procedures
  • Ensure the completion of new patient information and update information for the medical record
  • Receive calls regarding appointments; determine the appropriate provider, length, and type of appointment; schedule appointments accurately
  • Collect monies from patients in payment of bill or insurance deductible and co-payment on outpatient accounts; document receipts; prepare cash report at day's end
  • Order all outside tests requested by the doctor; schedule patient appointments, confirm
  • Enter ICD-10 and CPT-4 coding patient activity information, procedures into data processing system daily
  • Transcribe all non-medical dictation
  • Submit billing invoices to billing/collection department daily, under the supervision of the Physician Billing Manager
  • File, fax and/or mail reports and records
  • Compile and submit month end reports in a timely manner
  • Assists in tracking supply inventory
  • Notifies Office Supervisor/Coordinator when supplies need to be reordered
  • Serve as receptionist, greeting and directing patients, answering phone in a manner that supports Clinic Guest Relations Policy
  • Assists as required in non-invasive medical procedures or as security observer
  • As possible, knows where administrative/medical staff can be located and directs emergency messages
  • Other duties as assigned
