Job summary

Confluent Health is seeking a Care Coordinator to provide a welcoming, professional first impression and manage front desk operations at our Brookfield clinic.

You will greet patients, schedule visits, verify insurance, and assist with referrals while maintaining HIPAA standards and a calm, organized demeanor in a fast-paced environment.

Qualifications

Responsibilities

  • Manage front desk operations including patient check-in/out, scheduling, and insurance verification/authorization.
  • Answer phone calls and respond to referrals with clear information for patients and referral sources.
  • Maintain patient records and ensure accurate data entry and privacy per HIPAA standards.
  • Follow up on appointments, waitlists, and cancellations to keep patient flow smooth.

  • Create a welcoming, professional first impression for patients, visitors, and referral sources
  • Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls
  • Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps
  • Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits
  • Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed
  • Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation
Qualifications
  • You don't need a healthcare background to be great in this role — but you do need to be someone who genuinely enjoys helping people, thrives in a busy environment, and takes ownership of your work. If you've worked in any customer-facing role and want to build a career in healthcare, we want to hear from you.

  • High School Diploma or GED required
  • 1+ year of experience in a customer-facing or patient-facing role, this could include retail, hospitality, call center, medical reception, or any setting where you regularly interacted with the public in person or over the phone
  • Demonstrated ability to manage multiple tasks at once while staying organized and detail-oriented
  • Comfortable and confident communicating on the phone, including handling upset or frustrated callers with patience and professionalism
  • Basic computer proficiency: comfortable learning new systems, navigating scheduling software, sending emails, and working in spreadsheets
  • No prior medical experience required — we provide comprehensive training including EMR navigation, insurance fundamentals, scheduling workflows, and phone etiquette
About

Compensation: $18.00-$19.00 per hour, based on experience.

Schedule: 20 hours per week, Monday through Friday
