Job summary

Sonova USA Inc. in Charlotte, NC is seeking a Hearing Care Coordinator to work with our clinical staff, scheduling appointments, verifying insurance, and assisting patients within the clinic.

The position offers a Monday–Friday schedule with competitive starting pay of $18.50–$19.00 per hour plus a sales incentive bonus, along with benefits such as 401(k) with company match, medical/dental/vision, and generous PTO. Training provided for HIPAA-compliant care and EMR/EHR use.

Qualifications

  • High School Diploma or equivalent required.
  • Associate’s degree preferred for advancement.
  • Prior experience with hearing aids is a plus.
  • 2+ years in a health care environment preferred.
  • Previous customer service experience required.

Responsibilities

  • Greet patients with a positive and professional attitude.
  • Place outbound calls to schedule follow-up tests and consultations.
  • Collect patient intake forms and maintain files/notes.
  • Schedule and confirm patient appointments.
  • Complete benefit checks and insurance authorizations.
  • Provide first-level support to patients and process payments.
  • Assist with repairs under supervision of a licensed professional.
  • Prepare deposits and submit daily reports to finance.
  • Apply general sales knowledge for accessories and patient support.
  • Process patient orders and input information into system.
  • Maintain and clean equipment and instruments.
  • Submit equipment/facility requests.
  • Perform general office duties, including cleaning.
  • Manage inventory and supply orders.
  • Assist with community outreach events (at least one per month).

Job Description

The Hearing Care Coordinator (HCC) works closely with the clinical staff to ensure patients are provided with quality care and service. By partnering with the Hearing Care Professionals onsite, the HCC provides support to referring physicians and patients. The HCC will schedule appointments, verify insurance benefits and details, and assist with support needs within the clinic.

Responsibilities
  • Greet patients with a positive and professional attitude
  • Place outbound calls to current and former patients to schedule follow‑up hearing tests, consultations, and weekly evaluations for the clinic
  • Collect patient intake forms and maintain patient files/notes
  • Schedule and confirm patient appointments
  • Complete benefit checks and authorization for each patient’s insurance
  • Provide first‑level support to patients, answer questions, check patients in/out, and collect and process payments
  • Process repairs under the direct supervision of a licensed Hearing Care Professional
  • Prepare bank deposits and submit daily reports to finance
  • Apply general sales knowledge for accessories and any patient support
  • Process patient orders, receive all orders, verify pick‑up, and input information into system
  • Clean and maintain equipment and instruments
  • Submit equipment and facility requests
  • Perform general office duties, including cleaning
  • Manage inventory, order/monitor stock, and submit supply orders as needed
  • Assist with event planning and logistics for at least one community outreach event per month
Education
  • High School Diploma or equivalent
  • Associate’s degree, preferred
Industry/Product Knowledge Required
  • Prior experience/knowledge with hearing aids is a plus
Skills/Abilities
  • Professional verbal and written communication
  • Strong relationship‑building skills with patients, physicians, and clinical staff
  • Experience with Microsoft Office and Outlook
  • Knowledge of HIPAA regulations
  • EMR/EHR experience a plus
Work Experience
  • 2+ years in a health care environment is preferred
  • Previous customer service experience is required
