The Opportunity

We’re seeking a Front Desk Associate to be the welcoming face of Haven Health and the operational backbone of our patient experience. You’ll ensure every patient’s journey—from check-in to follow-up—is seamless, affirming, and efficient. Beyond reception, you’ll support insurance, billing, and prior authorizations, helping to ensure patients can access care without barriers. This is a unique opportunity to join a startup at the ground floor and help shape systems for the future.

What You’ll Do

Patient Experience & Service

  • Welcome patients warmly, creating a safe, affirming, and solutions-focused environment.
  • Manage patient check-in, registration, and insurance verification with efficiency and care.
  • Assist with scheduling appointments, follow-ups, and referrals, always seeking paths forward rather than defaulting to “no.”
  • Handle patient inquiries in person, by phone, email, and digital platforms with professionalism, empathy, and a customer service mindset.

Billing & Insurance Operations

  • Collect copays and process payments accurately.
  • Support billing workflows, including claim submission and reconciliation.
  • Verify insurance coverage and benefits prior to visits.
  • Verify that patients have completed pre-visit paperwork and ensure it is properly integrated into the EHR to support patient, provider, and front desk workflows.
  • Assist with prior authorizations for medications, imaging, and procedures.
  • Partner with providers and the leadership to resolve billing or insurance issues promptly.

Operational Excellence

  • Support daily clinic operations and patient flow.
  • Monitor and escalate operational issues (e.g., scheduling gaps, IT disruptions, facilities needs).
  • Contribute to refining front desk workflows and operational playbooks.

Team & Collaboration

  • Collaborate closely with providers, medical assistants, and leadership to keep the clinic running smoothly.
  • Share patient feedback to improve systems, communication, and services.
  • Support new service launches, pilots, and innovations.
Who You Are

Must-Haves (Non-Negotiables)

  • 1+ year of experience in a front desk, patient services, billing, or operations role (healthcare preferred).
  • Familiarity with healthcare AI tools, insurance verification, and prior authorization processes.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication and interpersonal skills with diverse populations.
  • Commitment to confidentiality (HIPAA) and professionalism.

Strong Pluses (You’ll Thrive If You Have These)

  • Experience in LGBTQ+ healthcare or strong interest in serving LGBTQ+ patients.
  • Knowledge of CPT/ICD-10 coding and medical billing software.
  • Background in hospitality, retail, or service roles with high customer engagement.
  • Comfort with digital tools and adapting to new systems quickly.
