Base pay range

$33.00/hr - $35.00/hr

Job Summary

The Administrative Assistant is responsible for supporting day-to-day office operations, including communication management, scheduling, document preparation, and data entry. The role also involves maintaining organized records, coordinating office supplies, and providing administrative assistance as needed. This role requires a detail-oriented and resourceful individual who demonstrates excellent communication skills and the ability to manage multiple priorities efficiently. The ideal candidate is flexible, proactive, and willing to take initiative—especially when working without explicit instructions.

Key Responsibilities:

Communication Support

  • Serve as the first point of contact for internal and external inquiries.
  • Handle calls, emails, and in-person requests professionally and efficiently.

Document Preparation and File Management

  • Draft, format, and proofread documents and reports.
  • Organize and maintain both digital and physical filing systems.

Data Entry and Recordkeeping

  • Input data accurately into systems and spreadsheets.
  • Maintain organized records for easy retrieval and compliance.

Schedule and Calendar Management

  • Coordinate and maintain calendars for team members and executives.
  • Schedule meetings, appointments, and travel as needed.

General Office Support and Supply Management

  • Provide day-to-day administrative support for smooth office operations.
  • Monitor and replenish office supplies and coordinate with vendors.
  • Provide relocation support to Japanese employees assigned from Japan, including assistance with government-related documentation and setting up essential services, and English support for addressing issues in daily life.

  • Proactively identify and address administrative needs without waiting for explicit direction.
  • Demonstrate adaptability by reprioritizing tasks as workload and business needs shift.

Qualifications & Skills

  • Must be legally authorized to work in the United States.
  • Preferred proficiency in both English and Japanese at a business communication level.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Professional demeanor with strong attention to detail and accuracy.

Education and Experience

  • High school diploma (or equivalent) required; college experience a plus.
  • Prior experience in an administrative or office support role preferred but not required.

Additional Information

  • Hourly Rate: $33–$35 per hour, depending on experience and qualifications.
  • Holidays: Holiday pay is not provided unless the employee qualifies under the company’s established holiday pay policy.
  • Benefits: This position does not include health insurance, paid time off, or other employee benefits.
