PARALEGAL

Position Summary

We are seeking a highly organized and detail-oriented Paralegal to support our growing legal department. This role is a key contributor to improving internal legal operations, with a focus on collections support, contract administration, and vendor compliance. The ideal candidate is proactive, capable of managing a high volume of work, and eager to build strong partnerships across the business while supporting legal efficiency and risk mitigation.

Key Responsibilities:

Collections & Litigation
  • Support collections efforts by preparing demand letters, tracking delinquent accounts, and maintaining organized case files.
  • Monitor collections activity and update internal tracking systems to ensure accounts are followed up consistently and within deadlines.
  • Assist in preparing documentation for litigation, including compiling evidence, correspondence, and account records.
  • Coordinate with finance and operations to ensure documentation is complete and accurate prior to escalation or legal action.
  • Liaise with outside counsel on collections matters as needed, including sharing documentation and tracking case progress.
Contract Administration
  • Assist with the preparation, review, and organization of commercial agreements, including sales contracts, vendor agreements, and service contracts.
  • Maintain the contract management system to ensure agreements are properly stored, executed, and tracked for key dates, renewals, and obligations.
  • Perform initial contract reviews to identify missing information, non-standard terms, or deviations from approved templates.
  • Route contracts for internal review, approvals, and signatures in accordance with company processes.
  • Respond to routine internal inquiries regarding contract status and documentation.
  • Support vendor onboarding and vetting processes by collecting required documentation and maintaining organized vendor records.
  • Assist in implementing procurement procedures and ensuring adherence to company policies.
  • Conduct periodic reviews of vendor files and agreements to confirm completeness and compliance.
  • Help maintain standard procurement and contract templates in coordination with legal and supply chain teams.
General Legal Support
  • Assist with managing outside counsel invoices, tracking legal spend, and maintaining matter records.
  • Organize and maintain legal files, both electronic and physical, in a structured and accessible manner.
  • Support internal audits, compliance initiatives, and policy documentation efforts.
  • Monitor and track legal deadlines, key dates, and reporting requirements.
  • Perform legal research on routine matters and summarize findings for the legal team.

Qualifications

  • Bachelor’s degree or Paralegal Certificate from an accredited program preferred.
  • 2–5 years of paralegal experience, preferably supporting corporate legal departments, collections, litigation, or contract administration.
  • Strong organizational skills with excellent attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and experience with contract management or legal tracking systems preferred.
  • Collaborative, proactive, and comfortable working cross-functionally with finance, procurement, and operations teams.
