Job summary

Qualifications

Summary

This position is responsible for the efficient day to day office operations of the PACT Team (Program of Assertive Community Treatment). The PACT team provides individualized support in the community to people with serious mental health conditions and high service needs.

Serves as primary contact for communications with staff and the main clinic. Provides administrative support to the Program Manager and clinic staff. The PACT Program Coordinator is typically first contact when a client comes to PACT, supporting clients in assessing what they need and referring them to the right team member for support.

Administrative Support

  • Supports staff in the office, including assisting with clients’ various medical, housing, and benefits appointments and case management tasks.
  • Enters sensitive data into the computer information system in a timely manner. Performs all related self-check, error-correction and date information functions according to timelines.
  • Assists clinical staff with information needed to complete documentation and correct QA deficiencies.
  • Coordinates and maintains treatment room schedules
  • Provides support for staff to track and complete required paperwork
  • Maintains Tracking and Reports
  • Maintains Petty Cash Account
  • Actively participates in daily team meetings and records meeting minutes
  • Maintains office supplies and agency forms
  • Cross trains to alternate duties as necessary to cover main clinic and other satellite clinics

Reception

  • Performs reception duties to include greeting and directing visitors and clients, answering incoming calls, and coordinating clinic and/or medical appointments
  • Coordinates scheduling changes and cancellations and enters into computerized appointment scheduler.
  • Supports staff who are both out in the field and in the office
  • Attends to emerging needs throughout the day. This can include:
  • Responding to walk ins and addressing the client’s needs that may include getting medications (will work the team nurse or other approved staff) and disbursement of funds
  • Contacts team members, when needed, to assist with response to walk-ins and /or phone calls or to update them
  • Verifies consumer personal data and provides required paperwork to consumers as needed
  • Collects co-pays, deductibles and insurance information
  • Appointment reminder calls
  • Monitors and maintains lobby as needed
  • Ensures proper completion of client required paperwork

Non-Essential Job Functions

  • Support agency mission, goals and objectives
  • Attends staff and planning meetings as scheduled
  • Maintains communication and cooperative working relationships both within the agency and community at large
  • Other duties as assigned by Supervisor

Education, Licensing and Experience:

  • Minimum of four years of experience in a medical office setting.
  • Familiarity with HIPAA regulations and extensive knowledge of insurance and eligibility verification required.
  • Knowledge of all insurance payers, billing experience preferred. Must possess excellent organizational and time management skills.
  • Ability to work independently with minimal supervision.
  • Intermediate knowledge ofMicrosoft Office applications and experience with electronic medical records or comparable databases.

  • Computer proficiency (Word, Excel).
  • Must have access to reliable transportation
  • Ability to pass background checks for Jails and School if assigned to an offsite location.
