Job Title: Ophthalmic Technician/Scribe

Location: Millburn, NJ

Travel: Travel to our other office in Somerset, NJ is required as needed. Mileage reimbursement is paid.

Hours
  • Full Time
  • Offices are open Monday‑Friday 7:45 am‑7 pm, Saturday 7:45 am‑1 pm
  • Shifts will fall within these hours
  • Flexible start and end times may be required as needed
  • Availability to work any shift is necessary
Requirements
  • High School Diploma or GED equivalent
  • Phlebotomy experience and/or license is highly preferred

Summary

An Ophthalmic Technician/Scribe is a valuable asset to an Ophthalmologist, assisting in providing excellent patient care during visits. The employee performs preliminary work‑up of patients in a clinic setting, scribes for Physicians, and may directly assist Physician(s) with examinations and treatment of patients.

Essential Duties And Responsibilities
  • Provide exceptional customer service during every patient encounter (in person or via phone)
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave
  • Anticipate Physician needs to facilitate the flow of the clinic
  • Practice urgency with patient and Physician time and schedule
  • Comply with all company policies and procedures, including HIPAA
  • Verify patient’s information by interviewing patient
  • Record patient’s medical history and current medications and confirm purpose of visit
  • Record all data in the patient's Electronic Medical Record (EMR)
  • Check condition of patient’s eyes by observing pupils, muscles, visual acuity and extraocular movements
  • Perform diagnostic tests including dilation, refraction, pressures, visual fields, OCT, GDX, IOL master, auto refractor, and topography
  • Demonstrate working knowledge of eye anatomy, diseases, symptoms, and ocular medications
  • Accurately and thoroughly document medical visits and procedures as they are performed by the Physician
  • Understand basic examination and procedure codes (ICD‑9) when inputting into the EMR
  • Ensure accurate procedure coding/charges for all procedures/drugs and correct diagnosis codes are used
  • Prepare patients for treatments and minor procedures; measure and record vital signs as required
  • Open and close exam rooms as needed
  • Keep examination, treatment, laser and any other assigned rooms clean and stocked with supplies, and keep drug count up to date
  • General office duties and cleaning as assigned by manager

Education And/Or Experience
  • High school diploma or GED required
  • One year of related experience and/or training, or equivalent combination of education and experience
  • Phlebotomy experience is highly preferred
Licenses And Credentials
  • Current Certified Ophthalmic Assistant (COA) or Certified Ophthalmic Technician (COT) certification is preferred but not required
  • Ophthalmic Scribe Certification (OSC) is preferred but not required
  • Phlebotomy license is preferred but not required
Systems And Technology
  • Proficient keyboarding skills and use of Electronic Medical Record (EMR) and image management system
  • Proficient in Microsoft Excel, Word, PowerPoint, Outlook
  • Computer proficient and able to quickly learn new applications
Physical Requirements
  • Role requires frequent walking (75%), sitting (50%), and standing (50%), with regular bending, stooping, and reaching (25–50%)
  • Must lift, carry, push, and pull items up to 25 lb.
  • Strong fine motor skills and full use of hands are essential for constant grasping, writing/typing, and technology use
  • Visual and auditory acuity, including color, depth, peripheral vision, and focus adjustment, is required 100 % of the time
  • Occasional driving or climbing may be necessary
