Job summary

Community Medical Centers is seeking an Operations Supervisor to oversee daily clinic operations at the Vacaville site. This on-site role provides leadership to staff to ensure compliant, high-quality patient care and efficient clinic services.

The position requires at least a high school diploma and 2+ years of supervisor experience in a clinic setting, with BLS certification preferred. Strong leadership and collaboration with healthcare teams are essential.

Position Summary

The Operations Supervisor oversees and manages the daily operations of an assigned clinic/program. This on‑site position provides leadership and guidance to staff to ensure optimal quality of care, compliance with regulations, and efficient clinic services. The supervisor works closely with other healthcare personnel to support effective patient care.

Specific Duties
  • Manage day‑to‑day operations, including scheduling, billing, staff management, and patient flow.
  • Resolve patient issues or complaints.
  • Collaborate with healthcare providers to ensure quality care for all patients.
  • Implement and monitor policies and procedures for efficient care.
  • Develop and maintain records of clinic/program performance.
  • Establish and maintain relationships with other healthcare providers and community organizations.
  • Develop and implement quality improvement plans.
  • Supervise assigned leads and other team members; manage time and attendance; prepare schedules; deliver evaluations; participate in performance coaching and documentation.
  • Formulate, affect, interpret, or implement organizational policies or operating practices.
  • Assist with staff recruitment, orientation, training, coaching, and skills development.
  • Work with Center/Program Manager and Human Resources on personnel issues.
  • Collaborate with Center/Program Manager to develop a culture of teamwork, problem‑solving, positive communication, and engagement.
  • Act as liaison and foster positive relationships among teams and staff.
  • Lead or assist at staff meetings.
  • Model, inspire, and hold staff accountable to Community Medical Centers initiatives.
  • Use a warm, welcoming, respectful tone to build trusting relationships with employees and customers.
  • Embrace the Patient‑Centered Medical Home model and team‑based care role.
  • Participate in the Center Leadership Team for planning, patient flow, and care.
  • Participate in various assigned meetings.
  • Assistance in resolving patient complaints.
  • Review and authorize inventory; complete supplies order forms.
  • Serve as a resource for team members regarding clinical practices, policies, and procedures.
  • Ensure compliance with accreditation, certification, licensing, and state/federal requirements.
  • Maintain a safety culture in the workplace.
  • Encourage leadership support for training and reinforce standards post‑training.
  • Maintain professionalism and confidentiality in administration and patient care areas.
  • Oversee employment compliance items (safety training, annual testing, CPR/BLS, competency trainings, skills assessments).
  • Support progressive improvement and guidance for staff skills and roles through workflow development and best practices.
  • Proactively approach problems with a standardization mindset.
  • Work across clinic programs and the organization with mindful impact to staff and system.
  • Lead and participate in Continuous Improvement and Quality initiatives using clinical data and reports.
  • Perform other duties as assigned.
Minimum Requirements
  • High School Diploma, GED, or higher.
  • Two years or more of clinic/outpatient experience as a Team Lead or Supervisor.
  • Medical Assistant School Certificate or LVN Professional License preferred.
  • Current BLS Certificate or ability to obtain BLS Certificate.
  • Strong leadership and interpersonal skills.
  • Excellent customer service, organizational, and problem‑solving skills.
  • Knowledge of healthcare regulations and standards.
  • Ability to effectively supervise and motivate staff.
  • Knowledge of clinic and office procedures.
  • FQHC/Clinic management experience preferred.
  • Understanding of customs, beliefs, and needs of the consumer group served.
  • Ability to work independently with minimal on‑site supervision.
  • Apply discretion and independent judgment using established techniques, procedures or specific standards described in manuals or sources.
Knowledge, Skills, and Abilities
  • Knowledge of ambulatory care, CPT/ICD‑10 coding, and familiarity with Medi‑Cal, Medicare, and commercial insurance billing procedures.
  • Knowledge of Electronic Health Records systems and other electronic systems and programs.
  • Excellent social skills and professional demeanor; leadership.
  • Initiative using independent judgment and discretion.
  • Knowledge of organizational policies, regulations, and procedures to administer patient care.
  • Knowledge of common safety hazards and precautions.
  • Effective verbal and written communication.
  • Ability to react calmly and effectively in emergency situations.
Typical Physical Demands

Requires full range of body motion, manual and finger dexterity, eye‑hand coordination. Requires standing and walking for extensive periods; occasionally lifts up to 50 pounds. Requires corrected vision and hearing. Works under stressful conditions and irregular hours.

Work is performed in an office environment within a clinic setting, involving frequent contact with staff and the public. The job may be stressful and involve dealing with upset people.
