Overview

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Lead Event Planner to spearhead the end-to-end coordination and execution of high-visibility planning conferences (100+ attendees with multiple breakout sessions) and large-scale, multi-week defense experimentation events hosting over 200 participants from 50+ diverse organizations.
  • This critical operational lead will design master event schedules, manage complex facility and registration logistics, and orchestrate detailed itineraries and protocols for high-ranking military and government officials during Distinguished Visitor (DV) days.
  • The ideal candidate must blend elite, large-scale event planning capabilities with a firm grasp of Department of Defense (DoD) security compliance, including hands-on experience processing Visit Authorization Requests (VARs) within the Defense Information System for Security (DISS).
  • An active Secret clearance, exceptional inter-agency communication skills, and proven expertise navigating military customs and government facilities are required to ensure the flawless and secure execution of these highly collaborative joint exercises.
  • Will also support tracking of actions/tasks for the team and support procurement efforts.

EXPERIENCE, EDUCATION, AND LICENSURE:

  • High school diploma or equivalent.
  • Minimum of Eleven (11) years of applicable experience supporting administrative operations; or four (4) years of applicable vocational/military/technical school and seven (7) years of applicable experience in the assigned specialty area.
  • Experience with:
    • DV Day Scheduling: Designing and managing strict itineraries, escort schedules, and dedicated presentation sessions for general officers, flag officers, and senior executives.
    • Military Protocol Compliance: Familiarity with military customs, courtesies, seating arrangements, and official hosting guidelines.
    • Security & Escort Coordination: Coordinating with personal security details and arranging proper badging and physical escorts within secure testing environments.
    • On-Site Coordination & Troubleshooting: On-the-ground management of registration desks, badges, signage, transportation assets, and hospitality requirements.
    • General Administrative & Procurement Support: Managing continuous task tracking across multiple event work streams and coordinating the procurement of critical supplies and services.

PREFERRED EDUCATION AND EXPERIENCE:

  • Prior military organization employment as military or civilian, and corresponding understanding of military headquarters staff organization, roles, and relationships.
  • Executive-level or senior manager-level administrative support.
  • Professional user of Microsoft's Office suite of software and applications (e.g., Outlook, Word, Excel, PowerPoint, Visio), as well as SharePoint.

WORK ENVIORNMENT:

PHYSICAL REQUIREMENTS:

The physical demands described must be met by an employee to perform the essential functions of the job - able to: see, hear, and speak; lift objects weighing up to 20 pounds; sit for extended time; and, use a personal computer keyboard, mouse, and other peripheral devices.

TRAVEL:

Approximately 30% (10-15 weeks per year)

WORK AUTHORIZATION / SECURITY CLEARANCE:

DoD Secret or higher security clearance, or the ability to obtain and maintain a Secret clearance. U.S. Citizenship is required.

ADDITIONAL QUALIFYING FACTORS:

Must have the ability to obtain and maintain a security clearance. In addition, a satisfactory background screening, negative drug test, positive references and proof of identity and legal authorization to work in the United States are required.
