Job summary

Covista in Illinois is seeking an Operations Specialist to support campus expansion initiatives, coordinating with cross-functional teams to plan, document, and ensure operational readiness across multiple launches. You will manage centralized project trackers, develop processes and governance practices, and collaborate with real estate, project management, and regulatory teams to meet milestones.

Qualifications

  • Bachelor's degree required.
  • 4+ years of experience in business operations or project management.
  • Process improvement, coordination and change management experience preferred.
  • Strong teamwork and interpersonal skills; able to handle multiple projects simultaneously.
  • Excellent analytical, problem-solving and communication skills.
  • Exceptional organization; able to manage tasks with minimal guidance.
  • Proficient with Microsoft Office Suite.

Responsibilities

  • Provide administrative and operational support to the campus expansion team.
  • Maintain project repositories and trackers; ensure documentation is current and accessible.
  • Support development and improvement of operational processes, tools, templates, and governance practices.
  • Assist with operational readiness activities, site visit planning, regulatory research, license applications, procurement and PO management, and facilities support.
  • Maintain project plans, trackers, timelines, and status reports; communicate milestones and risks.
  • Leverage project management and reporting tech, including AI-enabled tools, to improve efficiency.
  • Coordinate regulatory/licensing activities by tracking deadlines and submissions.
  • Develop and maintain stakeholder relationships to support project objectives.
  • Perform other duties as assigned.
  • Comply with policies and procedures.

Job Description

Opportunity at a Glance

The Campus Expansion team is seeking an Operations Specialist to support the successful planning, coordination, and execution of campus launches. In this role, you will work closely with cross-functional stakeholders to develop processes, manage project activities, and drive operational readiness across a growing portfolio of organizational growth initiatives.

This is a generalist role that is highly collaborative, providing operational support for our campus implementation, real estate, and project management teams. This position requires someone who is highly organized, adaptable, action-oriented, and capable of navigating competing priorities while maintaining focus on key milestones and deliverables.

This role can be based in our Chicago, IL or Lisle, IL locations.

Responsibilities
  • Provide administrative and operational support to the campus expansion team.
  • Maintain and update centralized project repositories and trackers, and ensure documentation is current, accurate, and readily accessible to stakeholders.
  • Support the development, implementation, and continuous improvement of operational processes, tools, templates, and project governance practices that support campus expansions initiatives.
  • Assist campus expansion team with operational readiness activities, site visit planning and coordination, regulatory research, business license applications, procurement & purchase order management, and facility support.
  • Maintain project plans, trackers, timelines, and status reports to ensure milestones, dependencies, risks, and action items are accurately documented and communicated.
  • Leverage project management and reporting technologies, including AI-enabled tools, to improve operational efficiency.
  • Support the coordination of regulatory and licensing activities by tracking deadlines and submission statuses.
  • Develop and maintain key stakeholder relationships to support achievement of project objectives.
  • Perform other duties as assigned.
  • Comply with all policies and procedures.
Qualifications
  • Bachelor's Degree required.
  • 4+ years of experience in business operations or project management.
  • Experience with process improvement, coordination, and change management preferred.
  • Strong teamwork and interpersonal skills. Ability to interact with all levels within the organization and work with multiple projects simultaneously.
  • Excellent analytical, problem-solving, and written & verbal communication skills.
  • Exceptional organization skills; must be able to manage tasks and projects with minimal guidance.
  • Ability to work independently and make sound decisions with minimal supervision and direction.
  • Proficiency with Microsoft Office Suite required.
  • Basic skills/knowledge of Smartsheet, SharePoint, and AI technology preferred.
Additional Information

In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $50,000 and $70,000. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.
