Qualifications

• Bachelor’s degree preferred in Business, Operations, Construction Management, or a related field.
• 3+ years of experience in operations, project management, construction, or business administration.
• Experience coordinating projects, schedules, materials, vendors, and field teams.
• Experience leading staff, delegating responsibilities, and promoting accountability.
• Ability to support financial processes, including vendor invoices, expense documentation, billing, and accounts receivable follow-up.
• Experience coordinating onboarding, offboarding, timekeeping, and routine HR administration.
• Strong organizational, project coordination, problem-solving, and multitasking skills.
• Experience working with clients and maintaining professional relationships.
• Proficiency with business management systems, spreadsheets, CRM platforms, and reporting tools.
• Comfort with workforce technologies.
• Strong communication skills, attention to detail, and commitment to accuracy.
• Ability to identify operational issues, improve workflows, and manage competing priorities.

Responsibilities

• Oversee projects from contract through completion, coordinating between clients, office staff, field teams, and vendors.
• Coordinate crew schedules, job assignments, and field logistics.
• Ensure materials, permits, and approvals are ready before work begins.
• Monitor timelines, budgets, and operational KPIs; identify variances and resolve issues.
• Coordinate vendor invoices, receipts, expense documentation, billing information, and accounts receivable follow-up.
• Coordinate day-to-day HR activities including onboarding, offboarding, and employee documentation.
• Lead administrative staff, delegate responsibilities, and promote accountability and consistent execution.
• Oversee office workflows, project and job files, and compliance records.
• Coordinate sales-to-operations handoffs ensuring accurate project information.
• Serve as primary operational contact for clients throughout the project lifecycle.
• Develop and maintain operational procedures and tracking systems to improve efficiency.
• Ensure adherence to policies, licensing, permitting, safety standards, and regulatory requirements.
• Identify operational risks, bottlenecks, and process gaps and implement solutions.
