Job summary

University of California, Berkeley is seeking an Operations Manager to oversee broad administrative services supporting the Berkeley Institute for Data Science (BIDS). The role spans finance, HR, facilities, IT, planning, and staff supervision to enable cross‑disciplinary collaboration.

The ideal candidate will manage budgets, HR processes, vendor relations, and space logistics while guiding a small team and partnering with campus units. This is a full‑time position based at Berkeley.

Qualifications

  • Assist in drafting website content, newsletters and correspondence.
  • Administer facilities and space logistics including equipment needs and conference room setup.
  • Supervise a small staff and provide feedback on tasks and progress.
  • Support leadership in strategic initiatives and external relationship building.
  • Represent BIDS on campus committees and safety coordination.
  • Engage in professional development to advance skills.

Job description

Operational Overview

This Operations Manager role encompasses the comprehensive administrative services and general operations that support collaboration at the Berkeley Institute for Data Science (BIDS). Responsibilities include finance, human resources, facilities, IT, strategic planning, and staff supervision.

Responsibilities
  • 20% Manage, plan, and administer a range of administrative operations in BIDS, such as purchase orders, travel booking and reimbursements, vendor payments, and affiliate processing.
  • 15% Coordinate human resources activities including employment, training, classification, and HR/Payroll documentation, work with the Executive Director on position descriptions, resume review, interview scheduling, onboarding/offboarding, and contract renewal tracking.
  • 15% Assist in designing and drafting organizational website content; draft newsletters and correspondence to the BIDS community.
  • 15% Administer facilities and space logistics: equipment needs, facilities issues, ergonomic evaluations, card key access, office equipment maintenance, and conference room set‑up.
  • 15% Supervise a small staff of support employees and/or students, set clear tasks, review progress and provide feedback.
  • 5% Support the BIDS leadership team in developing strategic initiatives and building connections with partner organizations across campus, the UC system, and beyond.
  • 5% Serve on committees representing BIDS within the College of Computing, Data Science and Society or across campus.
  • 5% Act as safety coordinator.
  • 5% Engage in professional development to advance skills and knowledge.
Required Qualifications
  • Thorough knowledge of University rules, regulations, processes, protocols, and procedures for budget, accounting, fund management, and/or personnel management.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasion, advising, and counseling.
  • Knowledge of administrative operations such as event planning, basic fundraising, risk management, website design, accounting, payroll, contracts, and grants regulations.
  • Solid knowledge of common University‑specific computer applications.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short‑term planning, analysis, problem‑solving, and customer service.
  • Knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures for staff and academic employees.
  • Bachelor's degree in a related area and/or equivalent experience/training.
Preferred Qualifications
  • Knowledge of project management and tracking on GitHub or a similar platform.
  • Understanding of open science, open source software development, and interdisciplinary collaboration, including specific challenges associated with these initiatives.
