Job summary

Asian Law Caucus seeks an experienced Operations Manager to lead day-to-day operations, facilities, IT, vendor management, and cross-functional projects in our San Francisco office. Job description

Type: Management, Regular, Full-Time, Exempt.

Location: San Francisco, CA. This is a hybrid role that is required to work in the office minimum three (3) days a week. Occasionally, they may report to the office more than three (3) days a week depending on specific office needs.

Reports to: Chief Operations Officer

Compensation and Benefits: This is a regular, full-time, exempt position. The salary range for this position is from $100,000 to $112,273. The compensation is determined based on years of relevant experience.

Travel & Meetings: All ALC staff are expected to participate in regular check-in meetings with their supervisor/supervisees, staff meetings, team meetings, and other organization meetings, as required. This includes two (2) annual retreats, an anniversary celebration dinner, and meetings as needed in the San Francisco Bay Area.

The Opportunity

ALC is looking for a proactive, responsive and service-oriented Operations Manager to join its administrative team. The Operations Manager is responsible for leading and strengthening the organization’s day-to-day operational infrastructure to ensure effective, efficient, and mission-aligned work across teams. This role oversees core operations functions including office and facilities management, administrative systems, technology and vendor coordination, operational procedures, and cross-functional implementation projects. As the COO’s right hand on Operations, the Operations Manager helps translate strategic priorities into clear plans, coordinates implementation across departments, and ensures strong follow-through on key operational initiatives.

Reporting to the COO, the Operations Manager helps build and maintain the systems, processes, and administrative support needed for a growing organization. This role partners across departments to improve workflows, implement and enforce policies and procedures, support staff training and systems adoption, and drive operational improvements that increase consistency, compliance, and organizational effectiveness. This role is perfect for someone who not only sees the big picture but also connects it with hands‑on implementation. The role requires strong execution, systems thinking, sound judgment, and the ability to build trust and accountability across teams.

The Organization

ALC is the nation’s first legal organization focusing on advancing and defending the civil rights of Asian and Pacific Islander (API) communities. Since 1972, ALC has fought for access to affordable housing in San Francisco’s Chinatown, litigated high-profile civil rights cases, advocated for the passage of landmark policy changes, and provided an array of services including community education, advocacy, and direct client representation to further the rights of low‑income immigrants and communities of color, across our Housing Rights, Workers’ Rights, Immigrant Justice, and National Democracy Initiative programs, and other emerging areas of law.

Core Responsibilities
Office, Facilities, & Vendor Management
  • Lead onsite, day-to-day office and property management of 55 Columbus office, including but not limited to: maintaining and ordering of general supplies, vendor/contractor management for various office repair/project needs, responding to onsite emergencies
  • Lead development, implementation, and ongoing evaluation of office procedures to ensure the smooth functioning of the office (e.g. building systems, technology, reception, common resources, maintenance, safety, emergency) and collaborate with respective departments for effective implementation
  • Partner with the COO on risk management and organizational resilience planning, including office readiness, emergency response, continuity planning, and operational safeguards
  • Ensure a safe, functional, and positive workplace experience for employees and visitors.
  • Liaising and representing ALC to the landlord, the San Francisco Community Land Trust.
  • Manage key operational vendor relationships, including IT providers, office service vendors, facilities contractors, and other external partners supporting daily operations
  • Oversee procurement and purchasing processes for operational needs, including supplies, services, subscriptions, and facilities-related expenditures.
  • Track contracts, renewals, service expectations, and vendor performance to ensure cost-effective, reliable support.
  • Lead and manage annual insurance renewals and work with COO on risk management and organizational resilience planning.
  • Maintain organized operational records, agreements, and documentation related to vendors, systems, and service arrangements.
  • Operations Manager will have dotted line supervision of Reception and Administrative Coordinator on office and other general administrative duties.
Technology & Operational Efficiency
  • Lead and manage Third Party IT vendor and ensure overall organizational digital security and compliance, efficiency, and accessibility including effective tech onboarding and offboarding of employees
  • In partnership with Third Party IT vendor, own and manage all orgwide technology stack, including all legal and non-legal subscriptions, software, and accounts
  • Under the direction of the COO, lead and oversee project implementation that helps support ALC’s improvement of its use of tools, technology, standardized procedures for operational efficiency
  • Work with COO in driving high-level and cross-functional projects or initiatives that help streamline or support organizational development, including ad hoc projects
  • Train all staff on internal procedures, systems/tools and ensure compliance, including but not limited to Clio, MyFirmData, Envoy, Slack, and other business systems or tools
  • Explore new tools and systems that help overall operational effectiveness for programs and departments and the organization as a whole
  • Partner across departments to strengthen workflows, clarify handoffs, reduce bottlenecks, and improve organizational effectiveness
  • Work and collaborate with Human Resources and Finance departments on cross-functional projects, such as staff onboarding, offboarding, annual audit, and other initiatives
Strategic Operational Support
  • Own and lead the logistics and planning for at least two annual all staff retreat
  • Under the direction of the COO, support and implement annual work planning for the entire organization
  • Serve as the COO’s lead operational partner in implementing organization-wide priorities, systems improvements,office policies, and cross-functional initiatives
  • Translate strategic direction into operational plans, timelines, responsibilities, and execution support across departments.
  • Surface risks, bottlenecks, and operational challenges to the COO with practical recommendations and solutions.
  • Support a high-performing operations culture oriented toward service, systems, solutions, and accountability, consistent with the leadership expectations set by the COO
  • Establish annual departmental work plans for the Operations Department, including creating an annual budget for Operations, in collaboration with COO
Other Duties
  • Provide additional administrative support and duties as needed
  • Mailing and arranging delivery/receipt of ALC equipment and supplies
  • Occasionally lifting boxes up to 15 pounds
Desired Qualifications
  • Minimum 5 years of experience in operations, administration, facilities, office management, and/or organizational infrastructure.
  • Experience supporting a senior leader and driving execution across multiple functions or teams.
  • Demonstrated success managing vendors, facilities, budgets, and operational systems.
  • Experience leading projects that improve workflows, systems, or organizational efficiency.
  • Experience working in the nonprofit sector is strongly preferred.
  • Experience supporting organization-wide planning, compliance, or risk management.
  • Proven ability to lead training and development programs.
  • Excellent communication, interpersonal, and leadership skills.
  • Passion for and commitment to supporting, nurturing, and guiding highly motivated, mission-driven staff.
