The Operations Manager/ Accreditation Compliance Officer will be responsible for providing supervision to all Office Assistants, performing HR duties, completing discharge procedures for medication management clients, and assisting other positions on an as needed basis. Additionally, they will ensure the policies, procedures and operations of Healthcare Living for Families meet and adhere to ACHC accreditation standards and are implemented on an-ongoing basis in all departments.
- Supervising office staff members by assigning tasks, managing performance, and assisting in and performing their roles as needed
- Performing HR duties by posting ads for open positions, screening resumes, scheduling interviews, collecting documentation necessary for the hiring process, and continuing to monitor documentation is up to date.
- Completing discharge procedures for medication management clients by pulling monthly reports of clients to be discharged, completing and mailing intent to discharge and final discharge letters for those clients, and tracking discharged clients.
- Provide PIMSY EMR support through creating and editing forms and assessments, adjusting billing codes, making changes and updates to support new programs, and assisting others with installing the program on their computers.
- Managing complaints from clients directed toward administrative staff members in an appropriate, timely and satisfactory manner.
- Providing support to the various directors and other staff members on an as needed basis.
- Meet with the Executive Director once a week to review management and ACHC pending tasks.
- Meet with the Clinical Supervisor once a week to review ACHC pending tasks.
- Meet with the Directors and Supervisors on the management team once a month to review management and ACHC progress, goals and resolutions.
- Schedule and oversee ACHC Improvement Plan All Office Staff Meetings once a month.
- Oversee compliance to ACHC from all Departments OMHC, SUD, PRP and MTS.
- Maintain up to date documentation in the ACHC Folder (for each folder within the ACHC folder).
- Complete Data Collection and Analysis on a Quarterly Basis.
- Maintain scanning in documentation from Clinicians that focus on Progress Monitoring and other tools that adhere to ACHC standards on a monthly basis.
- Ensure Emergency Power Systems are conducted on an annual basis.
- Schedule Fire Drills, Safety Drills and or Emergency Drills at least every three months.
- Collaborate with PIMSY as needed to implement forms, tools etc. in PIMSY that meet ACHC standards.
- Oversee creating or updating Policies and Procedures for all Departments as needed to meet ACHC requirements.
- Conduct Quality Management Surveys (telehealth survey as well if applicable) for all Departments OMHC, SUD, PRP and MTS at least every 3 months.
- Be in attendance at all ACHC audits, follow-up surveys etc. (please know this may require you to arrive to work early or stay later than usual during ACHC audit/survey.
- Complete additional tasks related to the Operations Manager and Accreditation Compliance Officer as assigned.
- Attend various/numerous ACHC webinar trainings/meetings as offered annually.
Qualifications
- At least two years of office/ program management experience (Required)
- At least one year of accreditation compliance management experience (Required)
- At least one year of patient coordination experience (Required)
- Behavioral Health experience (Preferred)
- Previous experience with Electronic Health Record (EHR) (Preferred)
Education
- Bachelor's degree in psychology, social work , human resources, business administration, or a related field (Required)
- Current LMSW licensure in the state of Maryland (Preferred)
