Responsibilities

  • Lead food procurement and logistics, including donated food and regional suppliers.
  • Maintain relationships with donors, suppliers, and transportation providers.
  • Coordinate incoming/outgoing loads, routes, and schedules.
  • Ensure inventory accuracy across receiving, storage, and distribution.
  • Complete documentation: BOLs, donation receipts, inventory records, system entries.
  • Oversee Primarius and other systems; review discrepancies and moves.
  • Coordinate periodic physical inventories and resolve variances.
  • Plan/loadout for remote distributions and disaster relief programs.
  • Collaborate with Warehouse, Agency, Volunteer teams on needs and schedules.
  • Ensure safe receiving, storage, picking, scanning, loading, and warehouse ops.
  • Prepare operational reports for Executive Director and Central Office.
  • Maintain compliance with policies, safety standards, and laws.
  • Develop cross-training and backup coverage for critical ops.

Position Summary:

The Operations Manager oversees food procurement, logistics, inventory, transportation, and distribution for Midwest Food Bank. The position ensures donated food is secured, received, accurately recorded, stored, and distributed safely and efficiently to partner agencies. The Operations Manager leads through coordination with warehouse, agency, volunteer, transportation, development, and trained operational support personnel and volunteers

Essential Duties & Responsibilities:
  • Lead food procurement and logistics, including donated food, local and regional suppliers, brokered loads, load scheduling, and inter-facility transfers.
  • Maintain productive operational relationships with food donors, suppliers, transportation providers, and other partners.
  • Coordinate incoming and outgoing loads, transportation resources, routes, and distribution schedules.
  • Maintain overall accountability for inventory accuracy through receiving, storage, processing, movement, picking, and distribution.
  • Ensure receiving documentation, BOLs, donation receipts, inventory records, and required system transactions are completed accurately and timely.
  • Oversee Primarius and other operational systems; review significant discrepancies, inventory adjustments, warehouse moves.
  • Coordinate periodic physical inventories and ensure differences between physical product and system records are researched and resolved.
  • Plan and oversee loadouts, remote/satellite distributions, Hope Packs, disaster relief, and other food distribution programs.
  • Coordinate with the Warehouse Manager to ensure safe and accurate receiving, storage, picking, scanning, loading, and warehouse operations.
  • Coordinate with the Agency Coordinator on partner-agency needs, orders, schedules, product availability, remote distributions, and agency communication.
  • Coordinate with the Volunteer Coordinator to ensure appropriate volunteer support, project preparation, supervision, and lead-volunteer coverage.
  • Coordinate transportation operations, including MFB vehicles, drivers, brokered transportation, service needs, inspections, and required records.
  • Oversee fleet and GeoTab administrative processes or assign them to appropriately trained personnel; drivers remain responsible for safe transportation, inspections, issue reporting, and return of paperwork.
  • Prepare and provide inventory, procurement, distribution, and operational reports to the Executive Director and MFB Central Office as required.
  • Complete or ensure completion of required donor reports, certificates, and operational documentation associated with donated food.
  • Monitor operational needs for warehouse supplies, equipment, vehicles, trailers, refrigeration equipment, and facility maintenance.
  • Support inspections and ensure operational areas comply with MFB policies, safety standards, contractual obligations, regulatory requirements, and applicable laws.
  • Develop procedures, training, cross-training, and backup coverage for critical operational functions to reduce single-person dependency.
  • Identify and implement improvements that increase inventory accuracy, transportation efficiency, safety, and distribution effectiveness.
  • Respond to operational issues and coordinate solutions with staff, volunteers, vendors, partner agencies, and leadership.

Qualifications:

Work Environment:
  • The position includes office and computer work as well as regular activity in warehouse, loading-dock, and transportation environments.
  • Some in-state travel may be required, with occasional out-of-state travel, evening or weekend responsibilities, and disaster-response activities.
  • May include exposure to noisy conditions, working conditions with dust, fumes, and weather.
