  • Account Services and Transaction Processing: Oversee and process account openings, maintenance, registrations, transfers, and closures, as well as deposits, withdrawals, and account updates, with timely, accurate turnaround on client requests.
  • Trading and Money Movement: Ensure prompt trade processing, reconciliation, and settlement; implement advisors’ investment instructions accurately; and monitor wires, journals, and cash movements.

  • Custodian, Vendor, and Client Support: Manage relationships with third-party custodians and operational vendors, resolve complex operational issues for advisors and clients, and provide responsive, communicative client service.
  • Compliance and Documentation: Partner with compliance to keep processes aligned with regulatory requirements; maintain complete, accurate records; support audits and exams; flag discrepancies; and manage implementation of firm-wide and regulatory changes.
  • Data Integrity and Reporting: Monitor the accuracy of client and account data across systems, and prepare and review operational reports for firm management and advisors.
  • Metrics and Performance Tracking: Track, measure, and report on client retention metrics, team capacity metrics, and operational efficiency and productivity metrics, using the results to identify trends, inform staffing and resource decisions, and drive continuous improvement.
  • Technology and Systems: Oversee operational use of Salesforce and ClientWorks, pursue automation opportunities, and manage or support system implementations and upgrades.
  • Team Management: Mentor and manage operations staff; set clear expectations and accountability; and foster a culture of accuracy, responsiveness, and continuous improvement.
  • Cross-Functional Coordination: Serve as the central point of contact between firm management, advisors, and operations, translating firm objectives into operational priorities and collaborating across the firm to enhance the client experience.
Qualifications:
  • Operations Management: Proven skills in process improvement, workflow optimization, and quality control within a professional services or financial firm; experience managing or developing a team is a plus.
  • Organization and Attention to Detail: Strong time management, task prioritization, and precision in documentation and record-keeping.
  • Technology: Comfort with CRM platforms (Salesforce preferred), custodial and portfolio or financial planning tools (ClientWorks a plus), and Microsoft Office.
  • Communication and Client Service: Clear written and verbal communication, professional phone and email etiquette, and the ability to collaborate with advisors, clients, custodians, and other stakeholders.
  • Industry Knowledge: Wealth management or financial advisory industry experience required; experience with LPL Financial preferred. Understanding of financial services operations and regulatory requirements in a FINRA/SIPC environment.
