Role Summary
The Career Technical Education Operations Coordinator will ensure a smooth and successful enrollment process and educational experience for CTE program applicants.
Responsibilities
CTE Enrollment Support
- Document and track the progress of prospective CTE students from initial expression of interest to successful enrollment.
- Maintain regular contact with prospective students via phone, text, and email to advise them of next steps and answer questions.
- Serve as the primary contact for internal and external inquiries regarding each prospective student’s status, handling all inquiries courteously and professionally.
- Manage and oversee enrollment in and attendance at information sessions (both in-person and virtual).
- Distribute appropriate links to applications, assessments, and interview calendars to prospective students in a timely manner.
- Participate in interviews with prospective students, as needed.
- Ensure all program participants complete pre‑class training activities and requirements.
- Prioritize tasks and documentation according to course start and end dates.
CTE Program Operational Support
- Oversee purchase of classroom, instructional, and office supplies and equipment plus approved wraparound supports; maintain inventories and keep careful documentation.
- Coordinate rooms for all CTE courses, workshops, and information sessions.
- Coordinate and execute the participant stipend process, including documentation gathering and partnering with finance to issue payment.
- Coordinate and execute the participant background process, including documentation gathering and using online platforms to process backgrounds.
Data and Record Collection and Keeping
- Maintain accurate and timely records of pre‑enrollment and enrollment activities, enrollments, attendance, drops, and completions.
- Oversee collection of intake paperwork for each cohort, ensuring completeness and accuracy; provide appropriate paperwork to partner organizations and upload documents to students’ online profiles; destroy documents with personally identifying information.
- Manage participant paper records and files in accordance with privacy requirements.
- Accurately record required data in the Case Management System, maintaining notes and updating contact information; upload documentation as needed.
- Generate reports to monitor process fidelity and inform monthly dashboards for real‑time programmatic overviews.
Other Responsibilities
- Assist team with production of certificates for graduating students, as needed.
- Support scheduling and monitoring of workshop attendance, as needed.
- Deliver presentations to prospective students, current students, and staff, as needed.
- Represent Mission Services and Goodwill in the community through participation in appropriate organizations and networking events, as needed.
- Maintain confidentiality according to GWSV protocols; handle sensitive information confidentially.
- Model professional work behavior at all times.
- Perform other job‑related duties and responsibilities as assigned.
Qualifications
Required
- Highly proficient with Microsoft Office, especially Excel; familiar with Google Workspace, web‑based database systems, and virtual meeting platforms.
- Experience with project or process management.
- Excellent written and oral communication skills.
- Strong attention to detail and organizational skills.
- Demonstrated ability to motivate and support individuals from diverse, underserved communities.
- Minimum 2 years’ work experience in a professional setting.
Preferred
- Bachelor’s Degree or Project Management credentials, or equivalent experience.
- At least one year of experience working with a program serving individuals with barriers to employment (e.g., housing instability, disability, low income, justice involvement, or chronic underemployment).
- Bilingual in Spanish, Vietnamese, or other commonly spoken regional languages.
- Familiarity with workforce or case management systems (e.g., Caseworthy, Salesforce).
- Possess a valid CA Driver’s License.

Working Conditions
The job is performed indoors in a climatically controlled setting with regular public contact. The position requires minimal supervision.
Emotional Effort
Moderate: Occasional short deadlines. The work environment is occasionally hectic with occasional high activity, with great emphasis on teamwork.
Physical Requirements
Sedentary work which involves lifting no more than 10 lbs occasionally, with periods of standing or walking. Lifting and carrying items weighing up to 25 lbs may be required.
