Topo Designs is seeking an organized Operations Coordinator in Denver, CO. You will split time between building AI-enabled workflows and handling hands-on sales operations tasks in a hybrid role.

You will report to the Operations Manager and collaborate with the Sales Ops Manager to streamline processes and ensure accurate order processing. Responsibilities include developing Claude-based automations, releasing daily corporate orders in NetSuite, maintaining records, and producing weekly

Qualifications

1–3 years in operations, sales support, order management or a similar admin role.
Daily, practical use of Claude or a similar AI assistant, with examples of tasks you've sped up.
Strong spreadsheet skills (Google Sheets or Excel: lookups, pivots, clean data).
High attention to detail with orders, numbers and customer data.
Clear written communication and comfort asking questions early.

Responsibilities

AI integrations and automation: build/test Claude skills for product data pack builder, order import builder, daily order exceptions sweep, weekly sell-through report, stock-availability file builder and corporate inbox triage.
Sales operations admin: release corporate orders daily, enter wholesale/corporate/international orders in NetSuite with third-party shipping details.
Create and maintain customer records, prepayments and vendor setup paperwork.
Send stock-availability replies and shipment tracking to corporate clients.
Flag orders at risk: EDI landings, allocation gaps, and 3PL deadlines.
Prepare weekly stock-availability uploads and weekly sell-through report.
Coordinate decoration orders and back up Sales Ops Manager on EDI and dealer services.
General: shipping document support, tracking updates, and basic reporting.

Topo Designs makes bags, apparel and accessories built for people who move between mountains and cities. Founded in Fort Collins and headquartered in Denver, we sell through our own stores and site, specialty and key-account wholesale, distributors, Amazon and corporate channels.

The role

Topo Designs is looking for an organized, tech-curious Operations Coordinator who already uses AI every day and wants to build with Claude. Half of this role is helping our team turn repetitive sales and operations work into AI-assisted workflows; the other half is doing that work well while the automations get built. As skills go live, your time shifts from doing the work to building and improving how it gets done. You'll report to our Operations Manager and work day to day with our Sales Ops Manager.

What you'll do

AI integrations and automation (about half your time)

Help build and test the Claude skills on our sales ops automation roadmap: a product data pack builder, an order import builder, a daily order exceptions sweep, a weekly sell-through report, a stock-availability file builder and corporate inbox triage.
Run each skill against real orders and item data before it goes live, and log what it gets wrong.
Keep our automation tracker current: each task's status, which skill covers it and the time it saves.
Write and update the SOPs, templates and checklists each skill depends on (retailer upload templates, master data files, order forms).
Run live skills on schedule, review their outputs before anything is imported or sent, and flag failures.
Train teammates on new workflows and collect feedback on what isn't working.

Sales operations admin (about half your time)

Release corporate orders daily, and enter wholesale, corporate and international orders in NetSuite, including third-party shipping details.
Create and maintain customer records, client prepayments and vendor setup paperwork.
Send stock-availability replies and shipment tracking to corporate clients.
Flag orders at risk: EDI orders that didn't land, allocation gaps and orders past the 3PL ship deadline.
Prepare weekly stock-availability uploads for marketplace and retail partners, and the weekly sell-through report.
Complete seasonal item setup, product upload forms and master data files; pull product imagery for clients.
Coordinate decoration orders with our embroidery partners and handle sales sample requests.
Back up the Sales Ops Manager on EDI, available-to-sell lists and dealer services.

General operations support

Help with shipping documents, tracking updates and chargeback research.
Pull data and build simple reports for the operations and finance teams.

What we're looking for

Required

1-3 years in operations, sales support, order management or a similar admin role.
Daily, practical use of Claude or a similar AI assistant, with examples of tasks you've sped up. We work in Claude.
Strong spreadsheet skills (Google Sheets or Excel: lookups, pivots, clean data).
High attention to detail with orders, numbers and customer data.
Clear written communication and comfort asking questions early.
Based in or near Denver, with regular in-office time.

Preferred

Associate's or bachelor's degree a plus; equivalent experience welcome.
Experience with NetSuite, Shopify, EDI or SPS Commerce.
Exposure to automation tools such as Zapier, Make, n8n, Parabola or Celigo, or to writing prompts and simple scripts.
Wholesale, apparel or outdoor industry background.
