Position Overview
The Tax Operations Coordinator is responsible for supporting the tax team by managing client documents, coordinating communication through the client portal, processing mailed documents, and assisting with administrative tasks related to tax return processing. This role ensures accurate document tracking, timely client communication, and efficient workflow management within the firm’s systems. The ideal candidate demonstrates strong attention to detail, excellent communication skills, and experience supporting a tax team from an administrative and processing perspective.
Key Responsibilities
- Create new client records and job entries, and update job budgets as needed.
- Coordinate with Managers to confirm required extensions and maintain updating the system to manage the tracking of extension.
- Act as the central point of contact for internal and external communications by monitoring and managing multiple inboxes, routing inquiries appropriately, and ensuring timely and accurate responses.
- Facilitate tax return processing, including electronic filing, tracking acknowledgements, updating internal systems, and following up on outstanding items.
- Assist in maintaining continuity of client service and internal workflows during periods of firm growth or restructuring.
- Provide administrative and operational support during firm initiatives, transitions, or organizational changes.
- Monitor and Download documents from the CCH Collaboration and Dropbox portals and save them to the appropriate client folders
- Mark documents with appropriate notifications for the tax preparation team.
- Preparation of Power of Attorney’s and send to IRS
- Track and follow up on outstanding documents, signatures, and client communications.
- Provide responsive support to the tax team, clients, and other internal departments as needed.
- Create and send client Engagement letters
- Pull reports for data cleanup and identify missing client information
Qualifications
- 2-3 years of experience in administrative support function, within a Tax accounting firm environment
- High school diploma or equivalent (GED) required
- Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
- Prior knowledge of CPA firm or other professional services experience is a plus.
- Strong written, verbal, and interpersonal communication skills are important.
- Experience working with ERP or practice management systems preferred.
- Self-starter with the ability to work independently and take initiative.
- Highly organized and detail-oriented, with a strong focus on accuracy.
- Ability to manage multiple tasks and work effectively in a fast-paced environment.
