Operations Coordinator
VOICE Charter School, located in Long Island City, Queens, serves approximately 650 K‑8 students. The Operations Coordinator will support both instructional and non‑instructional operations, communications, and school culture, ensuring a friendly, safe, and professional environment.
Position Responsibilities
Student Programming
- Collaborate with pedagogical leaders, the Divisional Operations Team, the Student Coordinator, and faculty to plan and execute school‑day and after‑school events such as music concerts, ceremonies, field trips, family academic events, dances, game nights, class photos, and other student‑culture activities.
- Provide day‑of support for student events.
- Assist in planning and executing off‑site student trips, in‑school assemblies, and family academic events.
- Work with the Operations Manager to recruit new students.
- Develop and maintain relationships with neighboring organizations to meet additional student needs, such as after‑school programs.
Communications & Ops
- Serve as the staff advisor for the Parent Council Executive Board and oversee all Parent Council activities.
- Act as the first point of contact by answering phones, greeting visitors, and handling diverse family concerns daily.
- Develop and maintain relationships with neighboring organizations for additional student needs.
- Develop and implement a mass communications strategy for parents/families/guardians, including weekly newsletters, recorded calls, calendars, student permission slips, and flyers.
- Coordinate and distribute the Weekly Circular for the Middle School Division.
- Maintain positive relationships with the school nurse to ensure proper handling of medications and medical records, and with vendors and building teams such as custodians and school food services.
- Organize, analyze, and streamline systems and processes for information collection, including student records.
- Assist with the maintenance of school supply inventory, aesthetics, facilities, and technology support.
Pedagogical Support
- Track school data (attendance, behavior, achievements, infractions) and create systems that support school leaders and families in meeting culture goals.
- Provide backup support to teachers, including covering classes, advisories, and electives.
- Assist with various student‑facing responsibilities, such as lunch/recess, advisories, and electives.
- Coordinate the collection and ongoing maintenance of all student records and files.
Team Support
- Perform clerical duties as needed, including coordinating meeting logistics, drafting agendas, taking meeting minutes, filing, answering phone calls, fielding general inquiries, and submitting purchase requests.
- As a member of the Division Ops Team, provide support for student‑facing and pedagogical tasks to ensure successful school operations, including support for student‑facing school ops tasks.
- Provide backup support for special projects and other school events as needed to ensure smooth operations.
- Serve as a backup scheduler for last‑minute callouts or staffing coverage.
Position Qualifications
Educational Background and Work Experience
- Bachelor’s degree from an accredited college or university.
- 1–2 years of experience working in an office environment.
- Previous experience working with children.
Bilingual
- Spanish and English, with verbal and written proficiency in both languages.
Preferred Experience
- Demonstrated experience working in a non‑profit organization or school in administration, operations, events, or project management.
